Job Description

Zachry Group has an exciting opportunity for a Project Accounting Administrator. The primary focus of this position is to support and coordinate payroll, accounts payable, billing, contract administration, and project accounting activities for the Chevron Pasadena maintenance operations. The Project Accounting Administrator will work closely with project management, operations, vendors, and corporate accounting personnel to ensure timely and accurate processing of financial transactions while maintaining compliance with company policies and client requirements.

Effective interaction with project teams, employees, subcontractors, vendors, and customers is essential for this role. The ideal candidate will be highly motivated, possess strong problem-solving abilities, and demonstrate excellent communication and organizational skills.

Job Responsibilities

  • Process and review payroll information to ensure accurate and timely employee payments.
  • Review accounts payable transactions for completeness, accuracy, and proper coding prior to payment.
  • Assist in managing vendor invoices and resolving invoice discrepancies.
  • Ensure vendor inquiries and payment requests are handled in a timely and professional manner.
  • Support accounts receivable functions, customer billings, and collections activities.
  • Complete monthly accruals and assist with financial reporting requirements.
  • Prepare journal entries and support month-end closing processes.
  • Communicate and work effectively with vendors, field personnel, project management, and corporate accounting teams to resolve issues.
  • Assist with internal and external audits as required.
  • Create and maintain reports, spreadsheets, and financial tracking tools for management review.
  • Review executed contracts and agreements to ensure compliance with billing and payment requirements.
  • Monitor project costs and support project financial reporting activities.
  • Maintain confidential financial and employee information.
  • Assist with training and development of administrative personnel when needed.
  • Perform other accounting and administrative duties as assigned.

Qualifications

  • High School Diploma or GED required.
  • Minimum three (3) years of related accounting, payroll, accounts payable, accounts receivable, or project administration experience.
  • Values ethics, professionalism, and maintains confidentiality.
  • Proficient in Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint.
  • Strong interpersonal and customer service skills.
  • Strong oral and written communication skills.
  • Ability to analyze information, solve problems, and exercise sound judgment.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.

Preferred Qualifications

  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
  • Three to five (3-5) years of project accounting or industrial construction/maintenance accounting experience.
  • Experience supporting refinery, petrochemical, industrial maintenance, or construction projects.
  • Experience with ERP systems and financial reporting tools.

Physical Demands

  • Required to communicate effectively in person, by telephone, and through email.
  • Frequent use of computer equipment and office technology.
  • Requires arm-hand steadiness, manual dexterity, finger dexterity, and coordination.
  • May occasionally be required to lift, carry, or move office materials and equipment.
  • May involve extended periods of sitting, standing, walking, and operating office equipment.
  • Must possess sufficient visual acuity, with or without corrective lenses, to perform assigned duties safely and effectively.

Work Environment

  • Work will be performed in a general office environment located at the Chevron Pasadena Refinery jobsite.
  • This is not a remote position.
  • The role requires the ability to operate effectively in a fast-paced work environment supporting active maintenance operations.
  • Employees may be required to access operational areas of the refinery and must comply with all site safety requirements.
  • Noise levels are generally low to moderate in office settings but may vary when accessing plant areas.
  • Appropriate personal protective equipment (PPE) may be required when entering designated operational areas.
