Responsibilities

The Mailroom Attendant is responsible for the receipt, sorting, processing, distribution, and shipment of incoming and outgoing mail, packages, and correspondence. This position also manages office supply inventory, ordering, stocking, and distribution to support daily business operations. The role requires strong organizational skills, attention to detail, and a commitment to providing excellent customer service.

Mail and Package Operations

• Receive, sort, and distribute incoming mail, packages, and courier deliveries throughout the facility.
• Process outgoing mail and shipments using USPS, FedEx, UPS, and other courier services.
• Prepare shipping labels, postage, and required documentation for outbound deliveries.
• Maintain accurate records and tracking information for incoming and outgoing shipments.
• Investigate and resolve issues related to lost, delayed, or misdirected mail and packages.
• Operate and maintain mailroom equipment, including postage meters, package tracking systems, and mail-processing equipment.
• Ensure compliance with company security procedures and confidentiality requirements when handling sensitive materials.

Office Supply Management

• Monitor office supply inventory levels and maintain adequate stock throughout the facility.
• Order office supplies and related materials from approved vendors in accordance with company purchasing procedures.
• Receive, verify, organize, and stock office supply deliveries.
• Distribute supplies to departments and employees as requested.
• Maintain organized storage areas and inventory records.
• Track usage trends and recommend cost-effective purchasing solutions.
• Coordinate with vendors to resolve ordering, delivery, or inventory discrepancies.

Qualifications

Education

• High School Diploma or equivalent.

Experience

• Mail room experience preferred.

Knowledge:

• Working knowledge of computerized systems.
• Knowledge of a variety of software applications (Microsoft Office Suite).

• Cultural competency and the ability to communicate effectively in a culturally sensitive manner with both individuals and groups from diverse backgrounds.
• Attention to detail in all work processes.
• High level of interpersonal skills to handle a variety of issues and situations. Position requires demonstrated poise, tact and diplomacy in dealing with a variety of staff.

Any combination of education, training, and experience equivalent to the requirements above that has supplied the necessary knowledge, skills, and experience to perform the essential functions of the job.

For applicants who will perform this position in Westchester County, the proposed hourly rate is $23.50 p/hr. For applicants who will perform this position outside of New York City or Westchester County, salary will reflect local market rates and be commensurate with the applicant’s skills, job-related knowledge, and experience
