Salary Range: $20.01 - $21.79 per hour

FLSA Status: Non-Exempt

Schedule: Monday - Friday, 7:00AM - 3:00PM

The Mailroom Associate is responsible for receiving, sorting, processing, and distributing incoming and outgoing mail and packages from various sources, including USPS, FedEx, interoffice deliveries, guests, and residential mail. This role ensures mail is accurately delivered to guest mailboxes or designated staff/departments, time-stamps incoming mail, processes returned mail, and maintains confidentiality and privacy standards. The Mailroom Associate also collaborates with staff to ensure urgent deliveries are handled promptly and assists with vendor deliveries, including WB Mason and Amazon.

Essential Duties/Responsibilities

  • Provides hospitality to all guests and help to create a welcoming environment.
  • Maintains established procedures for the handling of all incoming mail and packages.
  • Sorts and distributes incoming mail (interoffice, staff, guest and resident mail) to the correct locations at times established by Saint Francis House.
  • Scans all guests’ ID cards into HMIS software when they arrive to pick up their mail.
  • Operates the mailroom safely and efficiently that keeps the room organized to ensure mail services run smoothly.
  • Performs proper labeling of old mail and coordinates return delivery with the USPS or destruction of old unclaimed items.
  • Engages with guests and refers them to the direct service departments as appropriate.
  • Communicates with all direct-service departments as appropriate.
  • Maintains and distributes the following logs for SFH’s Guests and other SFH Departments:
  • Housing Mail list – Guest Services & Case Management.
  • Secures homeless populations government checks and keeps ongoing list.
  • Maintains package list for all SFH Departments, SFH residents, and SFH Guests.
  • Performs other duties as assigned that are necessary for the safe and continuous operation of the organization.
  • Adheres to agency code of conduct.

Requirements
  • Must have enthusiasm to provide direct service to diverse populations who present with housing, income, and behavioral health issues and have demonstrated ability to manage high speed, high stress settings that serve complex populations.
  • Comfort with using the guest database software and scanning technology.
  • Ability to routinely work weekends and holidays as required.
  • Proficiency in English.
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills with attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to prioritize tasks and to delegate them with appropriate.
  • Proficient with Microsoft Office Suite or related software.
  • Ability to function well in a fast-pace and stressful environment.
  • Basic understanding of and commitment to taking a person-centered, recovery-oriented, and trauma-informed approach.
  • Strong analytical and problem-solving skills.

Education and Experience

  • High school diploma or equivalent required.
  • One year of administrative/clerical experience, preferably in a mailroom setting.
  • Preference will be given to those with experience working with the homeless population, or in a mental health or addiction services setting.
  • Lived experience with homelessness and or recovery a plus.
  • Strong computer skills with ability to use a variety of computer systems including, database software, MS Office Suite (Word, Excel, Outlook and PowerPoint) and internet search tools.
  • Bilingual Spanish, preferred.

Work Environment & Activity

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 30 pounds at times.
  • Constantly standing and moving throughout multi-level building.
  • Occasional exposure to extreme temperatures.
  • Ability to be comfortable for prolonged periods of work within a small sorting and distribution space.
  • Ability and willingness to perform light housekeeping.
  • Constantly operate computer and other office machinery, such as a calculator, copy machine, computer printer, 2-way radio.
