The Mail Services Coordinator will coordinate incoming and outgoing mail and package services across multiple locations. Reporting to the General Manager, this position ensures accurate sorting, timely deliveries, and organized tracking while working with campus departments and carriers including USPS, FedEx, and UPS. This full-time role includes local travel between locations and the Post Office, with no overnight travel anticipated.

Responsibilities:

  • Retrieve, sort, and distribute incoming mail and packages to the appropriate recipients across multiple locations.
  • Complete scheduled mail delivery runs once daily, three days per week, as part of the full-time work schedule.
  • Prepare outgoing USPS mail, apply postage, and transport items to the Post Office.
  • Coordinate carrier pickups and process outgoing packages, including airfreight and overnight shipments.
  • Maintain accurate delivery records, photograph incoming items using a customer-provided device, and monitor mail machine volume.
  • Resolve package tracking and delivery issues, provide courteous customer service, and perform other related duties as assigned.

Essential requirements:

  • High school diploma or equivalent and 1–2 years of experience in mail services, shipping and receiving, or a related field.
  • Familiarity with USPS, FedEx, and UPS shipping procedures.
  • Ability to use mobile devices for package documentation and tracking.
  • Strong organizational, time management, and communication skills with close attention to detail.
  • Ability to work independently and coordinate tasks across multiple locations.
  • Ability to regularly stand, walk, bend, and lift or carry mail and packages weighing up to 25 pounds.
  • Ability to work in office, mailroom, and shipping and receiving areas and accommodate schedule adjustments as needed.
  • Valid driver’s license if required for assigned delivery duties.
  • Experience with postage meters, mail processing equipment, and overnight shipping preferred.
