  • Adhere to all facility policies, procedures, and post orders while completing required training.
  • Pick up, sort, and distribute mail to headquarters, jail administration, staff, and inmates, including delivery to housing modules and transport to the post office.
  • Prepare reports, complete required paperwork, and maintain organized filing systems, including mail logs, rejections, and watch lists.
  • Process rejected mail by completing rejection forms, distributing notifications, and maintaining and purging files in accordance with retention guidelines.
  • Collect and process inmate-related items such as money orders for accounting on a daily basis.
  • Attend meetings, instruct in-house academy classes and assist with training staff, including part-time or temporary employees, on mail procedures.
  • Perform general administrative duties such as submitting mileage sheets, participating in required training, and supporting overall Programs Unit operations.
  • May be required to testify in court when subpoenaed.
  • Performs other duties as required.

Examples of duties

  • Process, inspect, and distribute incoming and outgoing inmate mail, ensuring compliance with jail policies, procedures, and security protocols, including identification of contraband.
  • Maintain accurate records and documentation related to inmate mail, including data entry for mail logs, rejections, and watch lists, ensuring proper tracking and accountability.
  • Provide administrative and operational support to the Programs Unit by responding to kites, phone calls, and service requests while communicating effectively with staff, inmates, and external agencies.

Qualifications

  • Minimum 21 years of age
  • Ability to be assertive and self-motivated
  • Must be able to read, write, and speak English with high proficiency
  • Must have High School Diploma or GED
  • A valid Colorado Driver’s License

Supplemental information

  • Knowledge of computer systems, including Microsoft Office Suite for data entry, recordkeeping and communication.
  • Basic knowledge of alphabetical and numerical filing systems.
  • Ability to type 35 words per minute with accuracy.
  • Excellent customer service skills and communication skills when interacting with staff, inmates and the public.
  • Ability to operate office equipment such as computers, printers and postage systems.
  • Ability to multitask and manage competing priorities.
  • Ability to lift and carry mail totes weighing 20-35 pounds.
  • Ability to maintain confidentiality when handling sensitive inmate and facility information.
  • Ability to interact professionally with diverse groups and individuals, including inmates and staff.
  • Ability to work independently while following policies, procedures, and security required
