Job Description

Essential Functions and Responsibilities

Mail Operations

  • Mail pickup: Picks up mail from the main post office.
  • Sorting and Distributing: Receive, sort, and route incoming mail, packages, and interoffice memos to the correct departments or individuals.
  • Processing Outgoing Mail: Weigh letters and parcels, calculate correct postage, and operate automated postage metering or folding machines.
  • Tracking and Logging: Maintain logs for certified, registered, or tracked packages using internal tracking systems or carrier portals (UPS, USPS, FedEx).
  • Route Deliveries: Collect and deliver mail across corporate, campus, or municipal facilities, sometimes operating an organization vehicle.

Printing & Production Operations

  • Document Duplication: Operate large-volume digital copy machines, high-speed printers, and multi-function print shop systems.
  • Finishing Services: Cut, fold, collate, staple, hole-punch, or bind printed documents according to job work orders.
  • Stock Management: Load paper stock into large printers, move reams of paper, and stock inventory in storage or print shop areas.

General Administrative & Maintenance

  • Equipment Upkeep: Perform basic cleaning and routine maintenance on mail meters, inserters, industrial copiers/printers, scanners, binding machines and printing hardware; clear paper jams safely.
  • Inventory Control: Monitor and restock office and mailroom supplies like envelopes, labels, ink, and paper reams.
  • Customer Service: Assist staff or walk-up clients with shipping options, postage rates, or print job requests.
  • Performs other duties as assigned.

Qualifications & Requirements

  • Education: High school diploma or GED, and two (2) years related experience involving mail room / printshop operations.
  • Physical Requirement: Ability to stand for long periods, walk delivery routes, and lift heavy items (frequently up to 50-70 pounds of paper stock or packages). The incumbent is frequently required to stand; and stoop, kneel, crouch, and bend. The incumbent is occasionally required to sit.

  • Speaking/Hearing: Possesses the ability to give and receive information through speaking and listening skills.
  • Core Competencies: Strong attention to detail, time management to meet strict carrier pickup cutoffs, and reliable communication skills.
  • Licenses: A valid driver’s license is required for internal, external mail delivery routes.
  • Technical Skills: Basic computer skills; familiarity with office software (Microsoft Office or Google Suite), Excel, and digital print/mail tracking software.
