Job Description

Duties and Responsibilities / KPI’s

1. Operational Supervision:

1.1. Supervise daily warehouse activities, including receiving, storage, picking, and dispatch.

1.2. Allocate tasks and monitor performance of warehouse staff (clerks, operators, controllers).

1.3. Ensure smooth workflow and timely handling of materials.

1.4. Monitor adherence to operational procedures and standards.

2. Inventory Management & Control:

2.1. Ensure accuracy of stock records and inventory balances.

2.2. Oversee goods receipt and goods issue processes.

2.3. Supervise cycle counts and stocktaking activities.

2.4. Investigate and resolve stock discrepancies and variances.

2.5. Ensure proper documentation and tracking of all inventory movements.

3. Warehouse Operations:

3.1. Ensure proper storage, handling, and organization of materials.

3.2. Optimize use of warehouse space and storage systems.

3.3. Monitor material flow to prevent delays or bottlenecks.

3.4. Support efficient receiving and dispatch operations.

4. Systems & Data Management:

4.1. Ensure accurate and timely entry of transactions into ERP/SAP systems.

4.2. Verify data recorded by clerks for completeness and accuracy.

4.3. Generate and review warehouse reports.

4.4. Support system improvements and process optimization.

5. Team Leadership & Development:

5.1. Supervise, coach, and support warehouse team members.

5.2. Monitor staff performance and provide feedback.

5.3. Ensure staff compliance with company policies and procedures.

5.4. Support training and development initiatives.

6. Compliance & Governance:

6.1. Ensure adherence to company policies, procedures, and internal controls.

6.2. Maintain audit readiness and support audit activities.

6.3. Enforce proper documentation and recordkeeping practices.

6.4. Implement corrective actions from audit findings.

7. Coordination & Communication:

7.1. Liaise with procurement, logistics, and operations teams

7.2. Communicate stock availability, shortages, or issues

7.3. Support planning and coordination of material requirements

7.4. Escalate operational challenges when necessary

8. Key Performance Indicators (KPIs):

8.1. Accuracy of inventory records and stock control

8.2. Timeliness of receiving and dispatch operations

8.3. Reduction of stock discrepancies and losses

8.4. Team productivity and efficiency

8.5. Compliance with audit, safety, and operational standards

Qualifications / Experience / Technical Knowledge


Qualifications:

• Diploma or Degree in Logistics, Supply Chain Management, Business Administration, or related field

• Additional training in warehouse management is an advantage
Experience

• Minimum of 4–6 years’ experience in warehouse operations

• At least 2 years in a supervisory role

• Experience in minning or industrial environment preferred

T echnical Knowledge

• Strong understanding of warehouse operations and inventory control

• Knowledge of ERP/SAP systems and reporting tools

• Familiarity with stock reconciliation and audit processes

• Understanding of material handling and storage practices

Health and Safety

1.1. Ensure compliance with all relevant health and safety regulations, standards, and procedures.

1.2. Participate in health, safety and environment training programs to understand potential hazards, safety procedures, and emergency protocols.

1.3. Report any health, safety and environmental concerns, incidents, or near misses promptly to the designated supervisor or safety officer.

1.4. Assist in identifying workplace hazards and participate in risk assessments to minimize risks to personal health and safety.

1.5. Wear appropriate PPE as required for specific tasks or environments and ensure that it is maintained and used correctly.

1.6. Be familiar with emergency response procedures, including evacuation routes, assembly points, and first aid protocols.

1.7. Follow established safe work practices and procedures to prevent accidents, injuries, or illnesses.

1.8. Operate machinery, tools, and equipment safely, following manufacturer's instructions and the AML safety guidelines.

1.9. Maintain a clean and orderly workspace to reduce hazards and prevent accidents.

1.9.1. Promote a culture of health and safety awareness among coworkers by encouraging safe behaviors and reporting unsafe conditions.

1.9.2. Participate in health and safety committees or meetings as required, providing input and suggestions for improving workplace safety.

1.9.3. Keep accurate records of safety inspections, incidents, and training activities as required by company policy and regulations.


Environment

1.1. Oversee and monitor the environmental performance of your department's functions, ensuring high levels of awareness and compliance with company environmental policies and relevant environmental laws.

1.2. Regularly review environmental performance metrics and indicators to track progress, identify trends, and address areas for improvement.

1.3. Ensure all environmental incidents are reported promptly and investigated thoroughly in line with company policies and legal requirements.

1.4. Uphold a culture of environmental responsibility and compliance within the organization by setting clear expectations for incident reporting and response at all levels.

1.5. Collaborate with the Environment team to identify opportunities for environmental improvement and develop strategic programs to enhance sustainability practices.
