Job Description

Duties and Responsibilities / KPI’s

1. Core Responsibilities:


Expected Delivery:

 To perform activities such as such as receiving and delivering documents or items, including correspondence, memorandum, publications, records, files, packages, and other similar material within office as per supervisor’s instruction.

 To be responsible to deliver all items precisely & timely.

 To assist with basic office duties such as photocopying, filing and assisting staff upon their request.

 To attend visitors and promptly serve.

 To maintain cleanliness of offices, office equipment and furniture and clean those as and when required.


Implementation of office 5s program in all offices.

 To perform other related tasks upon demand to support all office employees and assist them in performance of their official duties.

 Ensure Office Equipment are always maintained and functional for use.

 Oversee, lead, and guide the different sections of Admin, Dormitory and Maintenance.

 Manage visual management board and Safety, Delivery, Quality, Cost and Moral (SDQCM) Processes.

 Improving efficiency and continues improvement.

 Ensure accurate update of document on LMS (MyOsh)

 Ensure accurate recordkeeping and PoE’s of training documents and training materials.

2. Safety

2.1. Site safety policy and new initiatives: Actively contribute to initiatives and implement change as directed by the AMLTA/VTC Manager.

2.2. Pro-active safety culture: Develop and promote by the identification, development, dissemination and review of safe practices and procedures and by ensuring the awareness of team members.

2.3. Compliance of personnel: Actively promote, monitor and enforce with safe work practices.

2.4. Risk identification and addressing: Ensure all health, safety and hygiene risks are identified and address in the

SOP’s and Risk assessments.

2.5. Risk assessment: Develop standard Risk Assessments for all critical tasks.

3. Key Stakeholders and Relationships to Manage:

3.1. AMLTA Management: Work close with management to ensure a smooth administration.

3.2. Training Specialists at AMLTA: Collaborate closely with internal training specialists to ensure consistency in

training practices and alignment with organizational goals.

3.3. AMLTA Staff: Work with staff members to coordinate training programs and meet the company’s workforce

development goals.

3.4. Administrative personnel: Constantly engaged with admin personnel ensuring their duties are being completed as per requirement.

3.5. Learners and Apprentices: Build strong relationships with learners, providing mentorship and guidance

throughout their training journey.

3.6. AML Staff: Work close with AML staff and always ensure good client relations.

3.7. Visitors: Always ensure visitors are well received, and also follow the VTC guidelines and procedures

4. Measures of Success (KPAs & KPIs within the First 1-2 Years):

4.1. Maintaining of administration system: Keeping record and filing of documentation.

4.2. Prepare training documents: Ensuring training material is available as and when required.

4.3. Reporting: Implementation, populate and draw reports from the Learner Management System.

4.4. Document Management System: Implementation and streamlining QMS principle requirements.

4.5. Stats: Provide Statistics and Reports on monthly, weekly or when required basis.

4.6. Control: Managing Administrative staff.

Qualifications / Experience
Qualification:

 Diploma in administration

Desirable

 Degree in Administration

 Accounting knowledge

Experience:


Essential:

 Previous work as administrator

 Proven experience in managing of people

 Accounting background.
