Job Description

Duties and Responsibilities / KPI’s

1. Vehicle Usage Monitoring and Reporting:

1.1. Implement and maintain a system for 24/7 monitoring of light vehicle usage, including location, mileage, and

operational status.

1.2. Generate and issue a Daily Fleet Update Report, providing accurate and timely information on vehicle utilization, availability, and any issues.

1.3. Utilize fleet management software and GPS tracking systems to gather and analyze vehicle data.

1.4. Identify and report any unauthorized vehicle use, misuse, or deviations from company policy.

2. Service and Maintenance Tracking:

2.1. Track and record the mileage and service history of all light vehicles in the fleet.

2.2. Monitor vehicle maintenance schedules and proactively track next service mileage to ensure timely servicing.

2.3. Coordinate with the Light Vehicle (LV) workshop to schedule and manage vehicle servicing, inspections, and

repairs.

2.4. Follow up with the LV workshop to ensure that service and repair work is completed according to schedule and quality standards.

3. Repair Turnaround Time and Downtime Reduction:

3.1. Work closely with the LV workshop to minimize repair turnaround time and vehicle downtime.

3.2. Coordinate the availability of replacement vehicles to reduce operational disruptions.

3.3. Expedite the repair process for critical vehicles to ensure minimal impact on operations.

3.4. Analyze downtime data to identify trends and implement strategies to improve vehicle availability.

4. Maintenance Planning and Data Accuracy:

4.1. Collaborate with the LV workshop to develop and enhance preventive maintenance plans for the light vehicle fleet.

4.2. Ensure that all maintenance activities are properly planned, scheduled, and documented in the fleet management system.

4.3. Maintain accurate and up-to-date records of vehicle information, maintenance history, and repair activities.

4.4. Implement data quality control measures to ensure the accuracy and reliability of fleet data.

5. Fleet Management and Oversight

5.1. Manage the allocation and assignment of light vehicles to various departments and users.

5.2. Develop and implement fleet management policies and procedures to optimize vehicle utilization and minimize costs.

5.3. Monitor vehicle condition and ensure that vehicles are well-maintained and presentable.

5.4. Coordinate vehicle registration, licensing, and insurance.

5.5. Manage vehicle disposal process.

6. Cost Control and Optimization:

6.1. Monitor fuel consumption and identify opportunities to improve fuel efficiency.

6.2. Track maintenance and repair costs, identifying trends and implementing cost-saving measures.

6.3. Negotiate with vendors and service providers to obtain competitive pricing.

6.4. Prepare and manage the fleet budget, ensuring cost-effective operation of the light vehicle fleet.

7. Safety and Compliance:

7.1. Ensure that all vehicles are operated in compliance with traffic laws and company safety policies.

7.2. Monitor vehicle safety equipment and ensure it is in good working order.

7.3. Coordinate driver training and awareness programs to promote safe driving practices.

7.4. Ensure that all vehicles have valid documentation.

Qualifications / Experience / Technical Knowledge

• High school diploma or equivalent; Diploma or Bachelor's degree in Logistics, Automotive Management, or a related field is preferred.

• Minimum of 3-5 years of experience in fleet management, light vehicle maintenance coordination, or a similar role.
