Job Description

Duties and Responsibilities / KPI’s



1. Expediting & Order Tracking:

1.1. Monitor the status of purchase orders from issuance through to delivery.

1.2. Follow up with suppliers to ensure on-time delivery of goods and services.

1.3. Track shipments and proactively identify potential delays or risks

1.4. Update expediting logs and tracking systems on a regular basis.

2 Supplier Coordination:

2.1. Maintain regular communication with vendors to confirm order progress.

2.2. Ensure suppliers meet agreed timelines and contractual obligations.

2.3. Escalate delays, non-compliance, or supply risks to the Supervisor.

2.4. Support resolution of supplier-related issues.

3. Logistics & Delivery Coordination:

3.1. Coordinate delivery schedules with logistics and site operations teams.

3.2. Ensure materials are delivered to correct locations on time.

3.3. Track inbound shipments and confirm receipt at site.

3.4. Work closely with warehouse and receiving teams.



4. Documentation & Reporting:

4.1. Maintain accurate records of all expediting activities and communications

4.2. Prepare expediting reports highlighting order status and delays

4.3. Ensure proper documentation of purchase orders, delivery notes, and invoices

4.4. Support audits by providing required documentation

5. Risk Management & Problem Solving:

5.1. Identify bottlenecks in the supply chain and propose solutions.

5.2. Anticipate potential disruptions and recommend mitigation actions.

5.3. Follow up on critical orders to avoid operational downtime.

5.4. Support contingency planning for urgent or critical materials.

6. Internal Coordination:

6.1. Liaise with procurement, warehouse, and operations teams.

6.2. Provide updates on material availability and expected delivery timelines.

6.3. Support planning and scheduling functions with accurate data.

7. Compliance & Process Adherence:

7.1. Ensure compliance with company procurement and expediting procedures

7.2. Maintain adherence to internal controls and reporting standards

7.3. Contribute to continuous improvement of expediting processes

8. Key Performance Indicators (KPIs):

8.1. On-time delivery rate of purchase orders

8.2. Reduction in supply delays and disruptions

8.3. Accuracy and timeliness of expediting reports

8.4. Supplier performance and responsiveness

8.5. Efficiency in resolving delivery issues


Qualifications / Experience / Technical Knowledge


Qualifications:

• Diploma or Degree in Logistics, Supply Chain Management, Business Administration, or related field

• Certification in procurement or logistics is an advantage
Experience:

• Minimum of 3–5 years’ experience in logistics, expediting, or procurement

• Experience in mining or industrial environment is preferred

• Proven experience in supplier coordination and order tracking
Technical Knowledge:

• Understanding of procurement and supply chain processes

• Knowledge of expediting, order tracking, and logistics coordination

• Familiarity with ERP/SAP systems and tracking tools

• Strong reporting and data management skills

• Basic understanding of contracts and supplier management

Health and Safety

1.1. Ensure compliance with all relevant health and safety regulations, standards, and procedures.

1.2. Participate in health, safety and environment training programs to understand potential hazards, safety procedures, and emergency protocols.

1.3. Report any health, safety and environmental concerns, incidents, or near misses promptly to the designated supervisor or safety officer.

1.4. Assist in identifying workplace hazards and participate in risk assessments to minimize risks to personal health and safety.

1.5. Wear appropriate PPE as required for specific tasks or environments and ensure that it is maintained and used correctly.

1.6. Be familiar with emergency response procedures, including evacuation routes, assembly points, and first aid protocols.

1.7. Follow established safe work practices and procedures to prevent accidents, injuries, or illnesses.

1.8. Operate machinery, tools, and equipment safely, following manufacturer's instructions and the AML safety guidelines.

1.9. Maintain a clean and orderly workspace to reduce hazards and prevent accidents.

1.9.1. Promote a culture of health and safety awareness among coworkers by encouraging safe behaviors and reporting unsafe conditions.

1.9.2. Participate in health and safety committees or meetings as required, providing input and suggestions for improving workplace safety.

1.9.3. Keep accurate records of safety inspections, incidents, and training activities as required by company policy and regulations.


Environment

1.1. Oversee and monitor the environmental performance of your department's functions, ensuring high levels of awareness and compliance with company environmental policies and relevant environmental laws.

1.2. Regularly review environmental performance metrics and indicators to track progress, identify trends, and address areas for improvement.

1.3. Ensure all environmental incidents are reported promptly and investigated thoroughly in line with company policies and legal requirements.

1.4. Uphold a culture of environmental responsibility and compliance within the organization by setting clear expectations for incident reporting and response at all levels.

1.5. Collaborate with the Environment team to identify opportunities for environmental improvement and develop strategic programs to enhance sustainability practices.
