Duties and Responsibilities / KPI’s
1. Transport Operations Coordination
1.1. Oversee and coordinate daily transport activities to ensure timely and efficient movement of vehicles and personnel.
1.2. Develop and manage transport schedules for the fleet to optimize utilization and reduce downtime.
1.3. Conduct daily monitoring of company vehicles using the telematics GPS tracking system to proactively enforce policy compliance, detect unauthorized or excessive usage, and safeguard operational efficiency
1.4. Assign vehicles and drivers based on availability, and destination.
1.5. Respond to delays, route changes, and breakdowns in real-time.
2. Contractors oversight
2.1. Oversee, evaluate, and document the performance of transport-related contractors to ensure compliance with service standards.
2.2. Coordinate with vendors to resolve discrepancies in billing or payment issues.
2.3. Maintain up-to-date records of all invoices and payments.
2.4. Process Purchase Request (PR) and Service Entry Sheet (SES) in SAP ERP system.
2.5. Collaborate with the finance department to ensure timely payments and accurate reporting.
3. Staff Overtime and Attendance Management
3.1. Monitor, track, and report staff working hours and overtime in the transport section
3.2. Ensure all overtime claims are verified and submitted for approval on time
4. Administrative Oversight
4.1. Maintain comprehensive records for all transport operations, including schedules, invoices and staff-related data.
4.2. Support the implementation of transport policies, procedures, and guidelines.
4.3. Track fuel usage and mileage for each vehicle in the fleet.
4.4. Serve as the main point of contact for transport-related requests.
4.5. Address transport delays or issues in real-time.
5. Compliance and Reporting
5.1. Support the collection and submission of weekly staff shopfloor audit reports to the safety department.
5.2. Ensure compliance with all relevant regulations, company standards, and safety protocols.
5.3. Monitor vendor performance and escalate issues as necessary.
5.4. Submit daily, weekly and monthly reports as required by your supervisor.
5.5. Undertake additional assignments as directed by your supervisor.
5.6. Identify process improvement opportunities and recommend solutions.
Qualifications / Experience / Knowledge
• Bachelor’s degree in Logistics, business or public administration, Management or related field.
• Minimum of 5 years of experience in Logistics or transport operation.
Core Competencies / Skills
• Strong knowledge of Logistics & Planning.
• Excellent organizational and time-management skills.
• Proficiency in using SAP ERP systems, Microsoft Excel, Outlook and Word.
• High attention to detail and accuracy.
• Effective communication and problem-solving abilities.
• Proficiency with GPS tracking and transport management software.

Working Conditions
• Office-based role with occasional site visits to field locations as required.

Health and Safety
1.1. Ensure compliance with all relevant health and safety regulations, standards, and procedures.
1.2. Participate in health, safety and environment training programs to understand potential hazards, safety procedures, and emergency protocols.
1.3. Report any health, safety and environmental concerns, incidents, or near misses promptly to the designated supervisor or safety officer.
1.4. Assist in identifying workplace hazards and participate in risk assessments to minimize risks to personal health and safety.
1.5. Wear appropriate PPE as required for specific tasks or environments and ensure that it is maintained and used correctly.
1.6. Be familiar with emergency response procedures, including evacuation routes, assembly points, and first aid protocols.
1.7. Follow established safe work practices and procedures to prevent accidents, injuries, or illnesses.
1.8. Operate machinery, tools, and equipment safely, following manufacturer's instructions and the AML safety guidelines.
1.9. Maintain a clean and orderly workspace to reduce hazards and prevent accidents.
1.9.1. Promote a culture of health and safety awareness among coworkers by encouraging safe behaviors and reporting unsafe conditions.
1.9.2. Participate in health and safety committees or meetings as required, providing input and suggestions for improving workplace safety.
1.9.3. Keep accurate records of safety inspections, incidents, and training activities as required by company policy and regulations.
Environment
1.1. Oversee and monitor the environmental performance of your department's functions, ensuring high levels of
awareness and compliance with company environmental policies and relevant environmental laws.
1.2. Regularly review environmental performance metrics and indicators to track progress, identify trends, and address
areas for improvement.
1.3. Ensure all environmental incidents are reported promptly and investigated thoroughly in line with company policies
and legal requirements.
1.4. Uphold a culture of environmental responsibility and compliance within the organization by setting clear
expectations for incident reporting and response at all levels.
1.5. Collaborate with the Environment team to identify opportunities for environmental improvement and develop
strategic programs to enhance sustainability practices.
