Job Description

Permit & Visa Processing

1.1. Coordinate and oversee the application, renewal, and cancellation of work permits, visas, and residence permits for expatriate employees.

1.2. Act as the primary liaison with immigration authorities, labor ministries, and other relevant government agencies.

1.3. Monitor expiration dates of permits and proactively initiate renewal processes to avoid compliance risks.

1.4. Ensure accurate documentation submission for visa and permit applications to minimize rejection risks.


2. Data Management & Reporting

2.1. Database Management:

2.1.1. Maintain and update a comprehensive database of all expatriates, including permit types, expiry dates, visa statuses, and legal documents.

2.1.2. Ensure all data is accurate, up to date, and securely stored in the HR system or designated tracking platform.

2.1.3. Implement version control for permit documents to track changes and updates.

2.2. Weekly Reporting:

2.2.1. Provide weekly status reports on pending applications, approvals, and permit expirations.

2.2. Highlight urgent cases that require immediate action.

2.4. KPI Reporting:

2.4.1. Track key performance indicators (KPIs) such as permit processing time, compliance rate, and renewal efficiency.

2.4.2. Develop dashboards in Excel for real-time monitoring of expatriate permit metrics.

3. Compliance & Regulatory Adherence

3.1. Ensure all expatriate employment documentation complies with local labor and immigration laws.

3.2. Conduct internal audits of expatriate files to confirm compliance with legal requirements.

3.3. Assist in resolving compliance-related issues with government authorities.

3.4. Keep abreast of changes in immigration laws and provide recommendations to HR leadership.


4. Expatriate Support & Communication

4.1. Provide clear guidance to expatriates on permit and visa processes, timelines, and required documentation.

4.2. Coordinate with expatriates on document submissions, medical clearances, and other prerequisites for permits.

4.3. Work closely with HR, payroll, and legal teams to ensure expatriate documentation aligns with contract terms.


5. Process Improvement & System Optimization

5.1. Develop and maintain standard operating procedures (SOPs) for expatriate permit management.

5.2. Identify process bottlenecks and recommend solutions to improve efficiency.

5.3. Explore automation tools or Excel-based tracking solutions to enhance reporting accuracy.


6. KPI Measurements

6.1. Permit Compliance Rate – 100% compliance with local immigration laws.

6.2. Database Accuracy – Less than 1% errors in expatriate permit tracking.

6.3. Processing Time – Work permits and visas processed within set timelines.

6.4. Renewal Timeliness – Zero instances of expired work permits leading to employment interruptions.

6.5. Expat Satisfaction – Positive feedback from expatriates on permit assistance and support.

Qualifications / Experience / Technical Knowledge

 Bachelor’s degree in human resources, Business Administration, Law, Data Management, or a related field.

 Minimum 3–5 years of experience in work permit/visa administration, immigration compliance, or expatriate management.

 Experience dealing with immigration authorities and government agencies.

 Strong background in database management and reporting.
