
Duties and Responsibilities / KPI’s
1. Contract Administration & Compliance
1.1. Administer mining contracts, including drilling, blasting, load & haul, road maintenance, and infrastructure services
in accordance with contractual terms and conditions.
1.2. Ensure contractor compliance with the scope of work, SLAs, KPIs, safety requirements, and commercial obligations.
1.3. Maintain contract registers, variation orders, and claims documentation to ensure full auditability and governance.
2. Cost Control, Measurement & Valuation
2.1. Verify contractor invoices through detailed measurement validation (e.g., BCM, tons hauled, meters drilled) against
production and survey data.
2.2. Track and monitor contract costs against budget, identifying variances and supporting cost control initiatives.
2.3. Support monthly accruals, forecasting, and financial reporting for mining contracts.
3. Contractor Performance Monitoring
3.1. Track contractor KPIs, including productivity, availability, utilisation, and quality of work
3.2. Coordinate performance reviews and ensure corrective actions are implemented for underperformance.
3.3. Support implementation of penalty/reward mechanisms aligned with contract provisions.
4. Document Control & Administrative Systems
4.1. Maintain accurate and up-to-date contract documentation, correspondence, approvals, and records in line with
document control procedures.
4.2. Coordinate preparation and submission of reports, including contract performance, cost reports, and operational
summaries.
4.3. Ensure proper filing, traceability, and retrieval of all administrative and contractual documents.
5. Stakeholder Coordination & Process Improvement
5.1. Liaise with operations, finance, procurement, legal, and contractors to ensure seamless contract execution.
5.2. Support contract tendering processes, including scope development, BOQ preparation, and evaluation inputs.
5.3. Identify and implement process improvements to enhance contract efficiency, transparency, and cost effectiveness.
Qualifications / Experience / Knowledge
• Bachelor’s degree in mining engineering, Quantity Surveying, Business Administration, or related discipline
• Minimum 5–8 years’ experience in mining contract administration or commercial roles
• Strong understanding of mining operations (drilling, blasting, load & haul, earthworks)
• Experience in cost measurement systems (BCM, tonnage, productivity metrics)
• Familiarity with contract types (lump sum, schedule of rates, unit rate contracts)

Working Conditions

Health and Safety
1.1. Ensure compliance with all relevant health and safety regulations, standards, and procedures.
1.2. Participate in health, safety and environment training programs to understand potential hazards, safety procedures, and emergency protocols.
1.3. Report any health, safety and environmental concerns, incidents, or near misses promptly to the designated
supervisor or safety officer.
1.4. Assist in identifying workplace hazards and participate in risk assessments to minimise risks to personal health and safety.
1.5. Wear appropriate PPE as required for specific tasks or environments and ensure that it is maintained and used
correctly.
1.6. Be familiar with emergency response procedures, including evacuation routes, assembly points, and first aid
protocols.
1.7. Follow established safe work practices and procedures to prevent accidents, injuries, or illnesses.
1.8. Operate machinery, tools, and equipment safely, following the manufacturer's instructions and the AML safety
guidelines.
1.9. Maintain a clean and orderly workspace to reduce hazards and prevent accidents.
1.9.1. Promote a culture of health and safety awareness among coworkers by encouraging safe behaviours and
reporting unsafe conditions.
1.9.2. Participate in health and safety committees or meetings as required, providing input and suggestions for
improving workplace safety.
1.9.3. Keep accurate records of safety inspections, incidents, and training activities as required by company policy
and regulations.
Environment
1.1. Oversee and monitor the environmental performance of your department's functions, ensuring high levels of
awareness and compliance with company environmental policies and relevant environmental laws.
1.2. Regularly review environmental performance metrics and indicators to track progress, identify trends, and address
areas for improvement.
1.3. Ensure all environmental incidents are reported promptly and investigated thoroughly in line with company policies
and legal requirements.
1.4. Uphold a culture of environmental responsibility and compliance within the organisation by setting clear
expectations for incident reporting and response at all levels.
1.5. Collaborate with the Environment team to identify opportunities for environmental improvement and develop
strategic programs to enhance sustainability practices.
