Duties and Responsibilities / KPI’s
1. Data Entry & System Updates:
1.1. Accurately capture all warehouse transactions (receipts, issues, transfers, and returns) into ERP/SAP systems.
1.2. Update inventory records in real time to reflect all stock movements.
1.3. Ensure correctness of item codes, quantities, storage locations, and batch details.
1.4. Maintain high data accuracy and integrity across all systems.
2. Inventory Recording & Control:
2.1. Record goods received and verify against delivery documentation.
2.2. Capture goods issues based on approved requisitions.
2.3. Assist in maintaining accurate stock balances within the system.
2.4. Support physical stock counts and verification exercises.
3. Documentation & Filing:
3.1. Maintain organized records of all warehouse documents (GRNs, issue notes, delivery notes, etc.).
3.2. Ensure completeness and accuracy of documentation prior to data entry.
3.3. File and archive records for easy retrieval and audit compliance.
3.4. Assist in audit preparation.
4. Reporting & Reconciliation:
4.1. Generate daily, weekly, and monthly inventory reports.
4.2. Identify and report discrepancies between system data and physical stock.
4.3. Assist in resolving stock variances and reconciliation activities.
4.4. Provide accurate data for operational reporting.
5. Coordination & Communication:
5.1. Liaise with warehouse, logistics, and procurement teams.
5.2. Report system errors or discrepancies promptly.
5.3. Support operational efficiency by ensuring timely updates.
5.4. Assist warehouse team with administrative support.
6. Compliance & Process Adherence:
6.1. Follow standard operating procedures for data entry and inventory control.
6.2. Ensure compliance with internal controls and audit requirements.
6.3. Maintain confidentiality and accuracy of warehouse data.
6.4. Support continuous improvement of processes.
7. Key Performance Indicators (KPIs):
7.1. Accuracy of inventory data and records.
7.2. Timeliness of transaction processing.
7.3. Reduction in data errors and discrepancies.

Qualifications / Experience / Technical Knowledge
Qualifications:
• High School Diploma or equivalent (required)
• Certificate/Diploma in Business Administration, Logistics, or related field (advantage)
Experience:
• Minimum of 1–3 years’ experience in data entry, warehouse, or inventory operations
• Experience in mining or industrial environment is an advantage
• Experience using ERP/SAP systems preferred
Technical Knowledge:
• Strong data entry and computer skills
• Basic knowledge of inventory and warehouse processes
• Proficiency in Microsoft Excel and Office applications
• Familiarity with ERP/SAP systems (preferred)

Health and Safety
1.1. Ensure compliance with all relevant health and safety regulations, standards, and procedures.
1.2. Participate in health, safety and environment training programs to understand potential hazards, safety procedures, and emergency protocols.
1.3. Report any health, safety and environmental concerns, incidents, or near misses promptly to the designated supervisor or safety officer.
1.4. Assist in identifying workplace hazards and participate in risk assessments to minimize risks to personal health and safety.
1.5. Wear appropriate PPE as required for specific tasks or environments and ensure that it is maintained and used correctly.
1.6. Be familiar with emergency response procedures, including evacuation routes, assembly points, and first aid protocols.
1.7. Follow established safe work practices and procedures to prevent accidents, injuries, or illnesses.
1.8. Operate machinery, tools, and equipment safely, following manufacturer's instructions and the AML safety guidelines.
1.9. Maintain a clean and orderly workspace to reduce hazards and prevent accidents.
1.9.1. Promote a culture of health and safety awareness among coworkers by encouraging safe behaviors and reporting unsafe conditions.
1.9.2. Participate in health and safety committees or meetings as required, providing input and suggestions for improving workplace safety.
1.9.3. Keep accurate records of safety inspections, incidents, and training activities as required by company policy and regulations.
Environment
1.1. Oversee and monitor the environmental performance of your department's functions, ensuring high levels of awareness and compliance with company environmental policies and relevant environmental laws.
1.2. Regularly review environmental performance metrics and indicators to track progress, identify trends, and address areas for improvement.
1.3. Ensure all environmental incidents are reported promptly and investigated thoroughly in line with company policies and legal requirements.
1.4. Uphold a culture of environmental responsibility and compliance within the organization by setting clear expectations for incident reporting and response at all levels.
1.5. Collaborate with the Environment team to identify opportunities for environmental improvement and develop strategic programs to enhance sustainability practices.
