Job Description

We are looking for a Receptionist & HR Admin who is energetic, eager to learn, has a professional personality, strong communication skills, and a high sense of responsibility.

This role will be the first impression of our organization, providing front-office support while assisting with HR administration, office management, and internal coordination to ensure smooth and efficient operations.

This position is ideal for fresh graduates who are looking to grow their career in HR, Administration, and Corporate Support, with the opportunity to gain hands-on experience in real organizational management.

Key Responsibilities

1. Reception & Office Coordination (Front Office Management)

  • Welcome and assist visitors, customers, candidates, and business partners with excellent service mindset.
  • Handle incoming phone calls and coordinate with internal and external stakeholders.
  • Manage incoming and outgoing documents, parcels, official letters, and company documents.
  • Maintain and organize company records, including legal documents such as DBD-related documents.
  • Prepare business cards and manage office access cards.
  • Support hotel bookings, transportation arrangements, and travel coordination for executives and visitors.
  • Communicate important company announcements and internal updates to employees.

2. Purchasing & Petty Cash Management

  • Manage company petty cash and prepare daily expense records.
  • Coordinate office supplies purchasing and general procurement activities.
  • Contact suppliers, request quotations, and compare prices.
  • Verify invoices, receipts, tax invoices, and basic accounting supporting documents.
  • Maintain inventory of office supplies, housekeeping items, and pantry supplies.

3. Office Facility & Workplace Management

  • Ensure the office environment is well-maintained and ready for daily operations.
  • Coordinate maintenance requests and follow up with suppliers.
  • Manage and coordinate housekeeping services.
  • Monitor rental agreements, supplier contracts, and important company documents.
  • Support company events and activities such as outings, parties, and seasonal celebrations.

4. Vehicle & Company Asset Administration

  • Manage company vehicle documents, including tax, insurance, and registration records.
  • Coordinate vehicle document renewals and GPS system updates.
  • Support vehicle ownership transfers and purchase/sale documentation.
  • Ensure all vehicle-related documents are complete and updated within required timelines.

5. HR Administrative Support

  • Support HR operations including employee records and administrative documentation.
  • Prepare employee documents and provide support for employee requests.
  • Assist with contract preparation and documents requiring management/Owner approval.
  • Support HR projects and other assignments as required.

Success Indicators

  1. Office documentation is accurate, complete, and easy to access.
  2. Internal and external coordination is fast and effective.
  3. Petty cash and purchasing processes are accurate with minimal errors.
  4. Office facilities and company assets are always ready for use.
  5. Important documents such as contracts, licenses, taxes, and insurance are properly maintained.
  6. Executives and employees receive fast and efficient support.

  • Bachelor's degree in any field. Fresh graduates are welcome to apply.
  • Professional appearance with confidence and a strong service mindset.
  • Excellent communication and coordination skills.
