What You’ll Do
Coordinate shipments from start to finish
- Manage daily logistics operations, including cargo pickups, shipping, dispatch, delivery, and collections.
- Coordinate with customers, destination teams, airlines, drivers, and internal departments to keep shipments moving on schedule.
- Book airline cargo space in advance and cancel unused reservations on time to avoid unnecessary charges.
- Arrange dispatch once destination teams provide authorization—the “green light” to ship.
Get the details right
- Review cargo against invoices, packing lists, and supporting documents to identify discrepancies, shortages, or damage.
- Prepare and verify export and air freight documentation, including OCASA air waybills, HAWB, MAWB, cargo manifests, commercial invoices, and packing lists.
- Send documentation to destination teams for review and coordinate revisions until shipping approval is received.
- Maintain complete, accurate records in SAP, shared drives, and Gestión Documental, including shipment status, costs, proof of delivery (POD), and applicable accounts payable information.
- Finalize applicable DTA shipments promptly upon arrival at destination.
Solve problems and keep customers informed
- Track dispatched shipments through arrival and delivery, confirming that cargo moves as booked.
- Resolve airline offloads, flight cancellations, and delays, coordinating the next flight out (NFO) when needed.
- Communicate shipment exceptions promptly and follow through until issues are resolved.
- Coordinate customer-authorized returns or disposal when shipments are canceled or partially shipped.
- Record export expenses and shipment costs accurately to support operational and financial visibility.
Support the team
- Assist drivers with loading, unloading, pickups, and deliveries, including driving when needed.
- Support other operational activities as business needs arise.
What You Bring
- At least 1 year of experience in logistics, operations, and customer service.
- Strong verbal and written communication skills in English and Spanish.
- Excellent organization, attention to detail, and time management.
- A practical approach to problem-solving and the ability to manage multiple priorities.
- Confidence working independently and collaboratively with a team.
- Proficiency in Microsoft Excel, Outlook, and Word.
- A high school diploma or equivalent.
A plus: Experience with SAP, air freight, international shipping, export operations, cargo coordination, shipment tracking, or freight forwarding.
Your Work Environment
- This is an in-person, on-site role combining office coordination with hands-on operational support.
- The position involves walking, standing, and moving for extended periods, along with regularly lifting and carrying items weighing up to 50 lbs.
- Occasional work outside standard business hours may be needed to support urgent shipments and customer needs.
- Occasional domestic or international travel may be required for client visits, industry events
