POSITION SUMMARY The IBD Analyst is responsible for the creation, maintenance, tracking, and issue resolution of Inbound Deliveries (IBDs) to ensure accurate and timely receipt of goods across Distribution Centers (DCs). This role serves as a key liaison between Supply Chain, Planning, Buyers, IT, and DC operations to maintain data integrity within SAP and support inbound flow efficiency. The position manages high transaction volumes, averaging approximately 360 lines per week across multiple DC locations. Additionally, this role serves as the secondary point of coordination for excess and obsolete inventory, off-site storage partnerships, and network-wide inventory health, while driving continuous improvement initiatives that reduce cost, improve service levels, and increase operational efficiency. This role is also a part of the HYH Field Operations team providing any needed project, site level, or SWAT support when needed.
RESPONSIBILITIES (Exclude if less than 15%)
Inbound Delivery (IBD) Creation
Create Inbound Deliveries (IBDs) in SAP (VL31N) per container.
Add container information to corresponding IBD deliveries.
Cross-reference P2D and Yard reports to validate delivery dates and line accuracy.
Create IBDs once material is in transit, typically one week prior to arrival to support accurate scheduling.
IBD Delivery Date Management
Update delivery dates within SAP (ME22N) based on Goods Receipt (GR) changes.
Ensure alignment between Purchase Orders (POs), IBDs, and actual transit timelines.
Weekly IBD Tracking & Reporting
Maintain and distribute a Weekly IBD Tracking Report (Excel-based).
Ensure all Distribution Centers and cross-functional partners have visibility to IBD status versus container arrivals.
Monitor inbound flow across DCs (2415, 2511, 2512, 2513, 2514, 2520).
Issue Resolution & Escalation
Investigate and resolve IBD failures; escalate system-related issues to IT and follow through to resolution.
Communicate updates to DC teams and Supply Chain stakeholders.
Shortage & Over-Receipt Management
Overages:
Obtain approval from Buyer and Planner.
Create new PO lines as required.
Generate new IBD deliveries to reflect quantity changes.
Shortages:
Obtain Buyer and Planner approval.
Coordinate PO closure process with Planner/Buyer (in alignment with IT procedures).
Network Inventory Health & Visibility
Monitor inventory status, classification, and system alignment across the network to ensure accurate visibility for planning, customer service, and fulfillment.
Identify and resolve issues related to inventory status (e.g., blocked, quality, or misclassified stock).
Support mitigation of short-dated, expired, or at-risk inventory in partnership with IC and DC teams.
Escalation Management & Special Projects
Act as a network escalation point for inventory-related issues, hot loads, and urgent business needs.
Lead and support one-off or strategic inventory and distribution projects as directed by network leadership.
Develop and execute mitigation strategies for complex operational challenges.
Continuous Improvement & Cost Reduction
Drive continuous improvement initiatives focused on reducing handling, storage, and transportation costs.
Partner with DC Operations, IT, and network leadership to improve processes, systems, and workflows.
Evaluate opportunities to improve storage efficiency, handling methods, and system processes that enhance network performance.
EDUCATION & EXPERIENCE
Bachelor’s degree in Supply Chain, Logistics, Operations Management, or equivalent experience.
3–5 years of experience in distribution, supply chain, inventory management, or logistics operations.
Strong understanding of DC operations, inventory flows, and supply chain systems.
Experience working cross-functionally with Operations, Planning, Transportation, and Inventory Control.
Strong analytical, problem-solving, and decision-making skills.
Ability to manage ambiguity and adapt responsibilities as business needs evolve.
Preferred
Experience working with off-site storage or 3PL partners.
Familiarity with SAP, WMS platforms, or inventory planning systems.
Continuous improvement or Lean/Six Sigma experience.
Project leadership experience in a distribution or supply chain environment.
KNOWLEDGE, SKILLS, & ABILITIES
Technical Skills:
SAP experience required (VL31N, VL32N, ME22N).
Strong Excel skills for reporting and tracking.
Experience working with P2D and Yard reporting tools preferred.
