Inver Energy and Amber Petroleum are both part of the Greenergy Group, a leading waste-based renewables manufacturer and international supplier of road fuels. The Logistics & Order Management Coordinator will assist in ensuring efficient and seamless operations across logistics, inventory management, customer support, fuel card administration, data analysis, and compliance. Reporting directly to Stephanie Phelan, this position requires a proactive, detail-oriented individual with excellent organizational and communication skills to support Inver Energy Limited’s operational excellence.

Key Responsibilities

Order Management:

  • Monitor and manage the order process, including scheduling and deliveries.
  • Coordinate transportation, inventory management, and distribution.
  • Process customer orders from initiation to delivery, ensuring timely and accurate fulfilment.
  • Act as the first point of contact for client queries, resolving issues related to orders, scheduling, and compliance.
  • Collaborate with sales, finance, and other departments to streamline operations.
  • Develop and maintain standard operating procedures for order management.


Inventory Control:

  • Manage stock levels to prevent shortages or overstock, ensuring cost efficiency.
  • Track and report inventory updates and dispatch requirements.
  • Implement systems to enhance inventory tracking and accuracy.


Transport Coordination:

  • Plan and coordinate logistics operations, liaising with customers, internal stakeholders, suppliers, and transportation companies.
  • Oversee daily schedules, ensuring timely updates and communication.
  • Monitor quality, delivery times, and transport costs, making recommendations for optimization.
  • Maintain carrier performance and compliance, handling issues as they arise.
  • Negotiate with transport providers to achieve cost-efficient and timely solutions.


Data Analysis and Reporting:

  • Compile and analyze data on inventory, transportation, and costs.
  • Generate weekly and monthly reports for the sales team and leadership.
  • Support the development of forecasting tools to predict inventory needs.

Skills, Knowledge and Expertise

  • Proven track record in logistics, operations, or a similar role, with experience in inventory management and customer service.
  • Highly organized with exceptional attention to detail.
  • Strong time-management and prioritization abilities.
  • Excellent problem-solving skills and the ability to work on own initiative.
  • Strong communication and administrative proficiency.
  • Highly proficient in Microsoft Office.
  • Demonstrates good judgment and interpersonal skills.
