Job Description

  • Yard & Vehicle Storage Management:
    • Supervise the organization and management of the vehicle yard, ensuring efficient use of space and proper storage of vehicles.
    • Implement safety protocols and security measures to protect the vehicles and ensure the yard is clean, organized, and safe.
    • Monitor vehicle status and maintain accurate records of stored vehicles, including tracking availability and condition.
  • Vehicle Dispatch & Coordination:
    • Ensure timely and accurate dispatch of vehicles, coordinating closely with the dispatch team, customers, and logistics service providers.
    • Monitor the progress of vehicle dispatches to ensure all deliveries are executed on time and in compliance with customer requirements.
    • Handle urgent and last-minute dispatch requests effectively, ensuring minimal disruption to operation
  • Preventive Maintenance Management:
    • Develop and oversee preventive maintenance programs for aging vehicles to ensure they remain in operational condition and avoid unexpected breakdowns.
    • Co ordinate with stakeholders for rework of the vehicles & Track and monitor the corrective actions
    • Track and maintain PMS checklist records, ensuring compliance with relevant industry standards and regulations.
  • Logistics Service Provider Coordination:
    • Build and maintain effective working relationships with logistics service providers (e.g., transporters, freight forwarders, and third-party contractors).
    • Negotiate and manage contracts with service providers to ensure competitive rates, high-quality service, and on-time delivery.
    • Ensure that logistics service providers adhere to agreed-upon standards and timelines for vehicle dispatch and delivery.
  • Inventory & Documentation:
    • Maintain accurate records of all vehicles in the yard, including their status, maintenance schedules, and dispatch history.
    • Ensure that all necessary paperwork for vehicle dispatch, including bills of lading and delivery confirmation, is completed and filed correctly.
  • Quality Control & Issue Resolution:
    • Monitor vehicle quality before dispatch to ensure that all vehicles meet the necessary standards and specifications.
    • Address any issues that arise in the dispatch process, including delays, damages, or documentation errors, and resolve them in a timely manner.
  • Team Management:
    • Lead and supervise yard staff, including maintenance technicians, dispatchers, and logistics coordinators.
    • Provide training and guidance to ensure efficient operations, compliance with safety standards, and high-quality customer service.
    • Foster a positive work environment and maintain effective communication within the team.
  • Reporting & Performance Analysis:
    • Regularly report on key performance indicators (KPIs) related to yard management, vehicle dispatch times, and maintenance schedules.
    • Analyze dispatch performance and vehicle uptime, identifying areas for improvement and implementing corrective actions.

  • Education: Diploma in Engineering.
  • Experience: Minimum of 5 years of experience in logistics or yard management, with at least 2 years in vehicle dispatch and storage operations.
  • Skills:
    • In-depth knowledge of vehicle storage, preventive maintenance, and dispatch management processes.
    • Strong organizational and time management skills.
    • Ability to work with and manage relationships with third-party logistics providers.
    • Familiarity with fleet maintenance and repair practices.
    • Proficiency in inventory management and logistics software.
    • Strong problem-solving and decision-making abilities.
    • Excellent communication and interpersonal skills.

Preferred Qualifications:

  • Experience working in the commercial vehicle or automotive industry.
  • Familiarity with regulatory requirements in vehicle transportation and maintenance.
