Job Description

Job Purpose

Coordinate logistics, expediting, and purchasing activities to ensure the timely availability and delivery of materials, equipment, and project requirements. Follow up with suppliers, freight forwarders, and internal departments to minimize delays, maintain accurate documentation, and support smooth operational and project execution.

Functional Responsibilities

Logistics Coordination

  • Coordinate local and international transportation of materials, equipment, and finished products.
  • Arrange shipments with suppliers, freight forwarders, customs brokers, and transport service providers.
  • Monitor shipment status and ensure delivery in line with project and operational requirements.
  • Coordinate required shipping, customs-clearance, and delivery documentation.
  • Address logistics issues and support the timely resolution of shipment delays or discrepancies.

Expediting

  • Follow up with suppliers on purchase orders, production progress, inspection readiness, and committed delivery dates.
  • Monitor critical and long-lead materials against project schedules and required delivery timelines.
  • Identify potential supplier delays and coordinate recovery actions with relevant stakeholders.
  • Provide regular updates on material status, expected delivery dates, and outstanding supplier actions.
  • Escalate significant delays or supply risks that may affect production or project execution.

Purchasing

  • Process purchase requirements in accordance with approved specifications, budgets, and company procedures.
  • Request and evaluate supplier quotations in coordination with the relevant technical and commercial teams.
  • Prepare and follow up on purchase orders and ensure alignment with agreed prices, quantities, specifications, and delivery terms.
  • Coordinate with suppliers regarding commercial clarifications, delivery commitments, and required documentation.
  • Support supplier negotiations and purchasing activities to achieve suitable cost, quality, and delivery conditions.

Cross-Functional Coordination

  • Coordinate with Engineering, Planning, Production, Projects, Quality, Finance, and Warehouse teams regarding material requirements and delivery priorities.
  • Follow up on material shortages and support actions required to maintain production and project schedules.
  • Coordinate inspection, receipt, and handover requirements for delivered materials and equipment.
  • Maintain effective communication between suppliers and internal stakeholders throughout the purchasing and delivery process.

Reporting & Documentation

  • Maintain accurate purchasing, expediting, shipment, and delivery records.
  • Prepare material-status, purchase-order, shipment-tracking, and delay reports.
  • Ensure supplier documents, shipping records, invoices, and supporting documents are complete and properly maintained.
  • Update relevant systems and tracking tools with accurate purchasing and logistics information.

General Responsibilities

HR Proficiency:

  • Ability to obtain updated soft and technical skills related to the job.

Delivery:

  • Perform the planned activities to meet the operational and development targets as per delivery schedules.
  • Utilize resources effectively to achieve objectives within efficient cost and time.
  • Provide a periodic report formatted by detailing the deviation and execution of planned tasks.

Problem-Solving:

  • Solve any related problems arise and escalate any complex operational issues.

Quality:

  • Ensure quality requirements to develop effective quality control and processes including specifications for products or processes or related activities.

Business Process Improvements:

  • Coordinate well-defined written systems, policies, procedures, and seek automations opportunities as much as possible.

Compliance:

  • Comply to related policy and procedures and work instructions.

Health, Safety, and Environment:

  • Ensure compliance of relevant safety, quality, and environmental management procedures and controls within defined area of work activity to guarantee safety, legislative compliance, and delivery of high-quality products/services.

Qualification

Bachelor in Electrical Engineering or Mechanical Engineering
