Job Description

We are committed to providing you with top quality transportation services with a personal touch. Our clients’ shipments from bus parts to food product are delivered safely, securely and on time throughout our service area. Plus, we offer cost-effective solutions that work within your time frames and your budget.

We are seeking a detail-oriented, proactive, and versatile Logistics Dock Clerk & Warehouse Administrator to join our fast-paced operations team. This hybrid role bridges the gap between digital warehouse management and active floor operations. You will serve as the central hub for our logistics flow—managing administrative workflows, processing inventory data, and ensuring seamless communication between our dock, carriers, customers, and dispatch teams.

The ideal candidate is a self-starter who thrives in a high-activity environment, can manage multiple tasks simultaneously, and is dedicated to meeting strict daily inventory deadlines.

Shipment Processing & Documentation

  • Receive and process all incoming/outgoing shipments, verifying that all inbound orders match receiving documents.
  • Immediately update status changes on the company’s live tracking board to maintain real-time visibility.
  • Prepare, verify, and organize outgoing order paperwork, including creating shipping labels, Bills of Lading (BOL), and container documentation.
  • Maintain accurate, structured filing systems (both digital and physical) for all historical shipment records.

TruckMate (TMW) System & Inventory Control

  • Utilize TruckMate (TMW) for all order management, data entry, processing functions, and shipment tracking.
  • Conduct thorough, accurate physical inventory counts using RF-scanner-based tools at the conclusion of every business day.
  • Record, document, and cross-reference all stock details within TruckMate to prevent duplicated orders or data errors.
  • Investigate and resolve customer queries related to order discrepancies, inventory levels, or tracking statuses.

Stakeholder Communication & Coordination

  • Act as the primary communication bridge between the dock floor, dispatch team, and Warehouse Supervisor to ensure timely departures and arrivals.
  • Communicate directly with external freight carriers to track shipments in transit and resolve logistical issues.
  • Handle email correspondence with warehouse customers, providing exceptional service regarding their inventory and freight.

Safety & Continuous Improvement

  • Adhere strictly to all company policies, including Health & Safety procedures.
  • Maintain a clean, organized, and safe workspace in the shipping office and dock areas, reporting any hazards to management.
  • Contribute ideas willingly toward continuous process improvement and warehouse efficiency.

Qualifications

Position Requirements

  • Experience: Previous administrative experience in a warehouse, logistics, or dock environment is highly preferred.
  • Software Expertise: Prior experience or strong familiarity with TruckMate (TMW) is highly desirable; comfort learning specialized logistics systems is required. WMS experience required.
  • Technical Proficiency: High comfort level with software, including Google Workspace (Sheets, Docs, Gmail) and Microsoft Office. Experience with RF scanners is a strong asset.
  • Detail-Oriented: An eagle eye for absolute accuracy in data entry, inventory counts, and documentation.
  • Time Management: Proven ability to multitask under pressure, manage your own workload with minimal supervision, and meet strict end-of-day deadlines.
  • Communication Skills: Strong written and verbal communication skills with a customer-service-oriented mindset.
