The Logistics Coordinator is an integral member of our Administrative Services team and plays a key role in creating a welcoming, organized, and well-supported office environment. This individual serves as a reliable, go-to resource for team members – helping to ensure day-to-day operations run smoothly while making employees and visitors feel taken care of and supported.
This role requires a proactive and service-oriented mindset, with the ability to anticipate needs, prioritize requests, and take initiative in a fast-paced environment. The Logistics Coordinator will make independent decisions related to daily operations, support various office functions, and collaborate closely with Facilities and office leadership. This individual represents the firm’s mission, vision, and values through a professional presence and a genuine commitment to service and teamwork.
Responsibilities:
Manage various facility and administrative-related functions in the local office
Set up, break down, and maintain conference or training rooms to ensure a clean and welcoming environment
Assist with setting up or reconfiguration of workstations or offices, including office moves
Coordinate catering for meetings, events, and training sessions to support a positive overall experience
Assist with hospitality requests as needed and proactively recommend process improvements
Support vendor coordination and maintain positive working relationships with service providers
Maintain a safe, functional, and welcoming work environment that reflects company standards
Anticipate office and team needs and proactively address them in a timely manner
Maintain inventory of office and breakroom supplies; order, receive, and organize supplies as needed
Accept, process, sort, and distribute incoming mail to appropriate recipients
Maintain an adequate supply of shipping materials and coordinate outgoing shipments
Arrange courier requests and coordinate deliveries and pickups (post office, FedEx, UPS etc.)
Provide back-up reception coverage as needed
Support overall office operations and contribute to a positive, team-oriented environment
Other duties as assigned
Qualifications:
High school diploma with some college education or equivalent experience
A minimum of 3 years of customer service experience strongly preferred
Previous facilities or hospitality experience required
Excellent customer service and communication skills
Effective interpersonal and phone skills
Proficient in Microsoft Office applications
Ability to prioritize tasks, take initiative, and follow through on responsibilities
Strong relationship-building skills with the ability to interact effectively with employees and clients
Demonstrates a proactive, service-oriented mindset and a willingness to support others
Takes pride in maintaining an organized, welcoming, and well-run environment
Highly dependable, flexible, and able to remain professional under pressure
Ability to lift, move, push or pull a maximum of 50 pounds
Possess a valid driver’s license and reliable transportation, with the ability to run errands as needed
