Job Description

Background on NYCEM:
New York City Emergency Management (NYCEM) is a coordinating agency for the City of New York. The agency plans and prepares for emergencies, educates the public about preparedness, coordinates emergency response and recovery, and collects and disseminates emergency information. The agency maintains a disciplined unit of emergency management personnel including but not limited to attorneys, responders, planners, watch commanders, logisticians, community outreach, communications, administrative and support staff to identify and respond to various hazards.

The Logistics division works to increase the City’s ability to support emergency operations with a sustained and well- coordinated supply chain of resources. It is comprised of the Humanitarian Logistics and the Supply Chain Logistics units, and works to ensure that the right personnel, equipment, supplies, and support are in the right place, at the right time, and in the right quantities, across all response and recovery operations.

of Project/ Intern Responsibilities:

The Logistics Bureau is looking for an administrative aid to support all units with the execution of their functional responsibilities. This will include reviewing and scanning prior activation documentation, reviewing bureau plans for common language, and assisting with the coordination of internal and partner coastal storm readiness measures. With significant interaction across other Bureaus and Units, this position is an excellent introduction to the field of emergency management. Examples of projects that the college aid may be asked to complete include:
- Scan and backup paper files from prior activations
- Assist with the review, testing, and implementation of new system features (such as in DisasterLAN and the Citywide Asset & Logistics Management System)
- Support preparations and take minutes for interagency meetings, such as the July Citywide Logistics Committee meeting
- Help facilitate the review of coastal storm prep documents
- Assist with entering and maintaining site assessment data into DisasterLAN (e.g., debris sites)
- Help with course preparations (e.g., print materials)
- Assist with the entry of equipment and supplies into the DisasterLAN resource stockpile.

- Strong organizational skills
- Strong communication and collaboration skills
- Attention to detail
- Experience working with Microsoft Office 365 (Teams, Outlook, Word, PowerPoint etc.)

The selected candidate will be required to provide a letter confirming matriculation with an accredited college/university. Further letters will be required for each semester (spring, summer, fall) while working at NYCEM.

Qualifications

For Assignment Level I:
Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school.
For Assignment Level II (Information Technology):
Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school with a specific course of study in information technology, computer science, management information systems, data processing, or closely related field, including or supplemented by 9 semester credits in an acceptable course of study.
For Assignment Level III (Information Technology Fellow):
Matriculation at an accredited college or graduate school. Employment is conditioned upon continuance as a student in a college or graduate school with a specific course of study in information technology, computer science, management information systems, data processing, or other area relevant to the information technology project(s) assigned, including or supplemented by 9 semester credits in an acceptable course of study. Appointments to this Assignment Level will be made by the Technology Steering Committee through the Department of Information Technology and Telecommunications.

SPECIAL NOTE
Maximum tenure for all Assignment Levels in the title of College Aide is 6 years. No student shall be employed more than half-time in any week in which classes in which the student is enrolled are in session. Students may be employed full-time during their vacation periods.
