Job Description

REPORTS TO: Senior Manager, Materials and Logistics

ASSISTS: Logistics Department

SUPERVISES: Not Applicable

AUTHORITIES / RESPONSIBILITIES:

  • Support all administrative aspects for the Logistics Department.

  • Monitor and maintain logistics manning schedules and headcount in conjunction with managers, foreman, and supervisors.

  • Compile and maintain various required documentation.

  • Create weekly reports for submission to key member of the Austal organization.

  • Work with Logistics Traffic Lead performing freight invoice coding.

  • Engage multiple departments including, Logistics, Supply Chain, Project Management, and Accounting to ensure company freight invoices are accurately coded, approved, and submitted for payment.

  • Perform daily collection, scan, and cataloging of logistics documents to ensure prompt availability.

  • Handle all clerical duties.

  • Collect and enter data in Austal ERP systems as required.

  • Work with department managers and foreman to maintain departmental supplies.

  • Track and reconcile departmental budget –processed requisitions, purchase orders and Cap Ex’s and compare actual expenses vs the Budget and report discrepancies to Manager.

  • Maintain Employee Contact List and distribute as needed periodically.

  • Post or distribute notices of Internal Job Postings, special events or company announcements.

  • Create requisitions and enter into IFS.

  • Assist with scheduling all employees for required training, meetings and appointments.

  • Update/reconstruct department documents and templates as needed.

  • Ensure that company policies and procedures are understood and adhered to.

  • Establish working relationships with multiple departments and promote and advocate a positive outlook, conducive to high productivity and pride in work.

QUALIFICATIONS / KNOWLEDGE / EXPERIENCE:

  • High school diploma/GED required.

  • Minimum of two (2) years’ experience in an administrative role with similar responsibilities required.

  • Must be able to follow directions and with limited supervision.

  • Proficiency in all Microsoft Applications required, working knowledge of PowerPoint.

  • Excellent time management skills.

  • Strong organizational and interpersonal skills.

  • Ability to prioritize tasks and be self-motivated.

  • Willing to work in a team environment and maintain harmony with all employees.

  • Skilled in performing with accuracy and attention to detail.

  • Ability to work effectively under pressure.

  • Organizational skills a must.

  • Marine industry product knowledge a plus.

DIRECTION EXERCISED: Wide degree of latitude is required, must rely on experience and good judgement to plan and accomplish goals.

DISCRETION EXERCISED: As determined by Logistics Management.

LIASES WITH: Logistics leadership, Procurement, Project Management, and Accounting

ADDITIONAL GUIDELINES:

  • Act as primary support entity for the Logistics department.

  • Able to provide proof of US Person Status.

  • No felony convictions of Theft/Deception or Violent crimes within seven years from disposition date.

  • No felony convictions of Drug crimes within three years from disposition date. Willing to submit to a drug screen.

  • Willing to submit to a background check.

WORK ENVIRONMENT:
