Reporting to the Lead Inventory Control and Logistics, the Logistics Associate manages end-to-end inbound and outbound logistics for a pharmaceutical R&D/manufacturing site in Mumbai/Thane. The role ensures compliant and timely movement of materials and samples (domestic, import/export and SEZ), accurate processing of shipping and customs documentation, and execution of ERP transactions (e.g., SAP/Ariba). The position works closely with Procurement, Finance, Quality/Regulatory and external logistics partners (freight forwarders/CHA/couriers) to support uninterrupted operations while meeting GDP, customs, CDSCO and GST requirements.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Plan and execute inbound shipments (air/sea/courier) including document review, coordination with origin sites/suppliers, freight forwarders and Customs House Agents (CHA), and end-to-end customs clearance tracking until delivery.
Verify completeness and accuracy of import documentation (invoice, packing list, AWB/BL, COO, insurance, MSDS/SDS where applicable) and support duty/payment processing and timely release.
Manage outbound shipments including export of R&D samples/materials, domestic distribution and SEZ movements; coordinate packing instructions, temperature-controlled shipping, courier bookings and pickup schedules.
Prepare/coordinate logistics documentation such as delivery challans, tax invoices, e-invoice/e-waybill, gate passes, export documentation and courier declarations; ensure alignment with GST and corporate policies.
Support applications/permissions with relevant authorities (as applicable): CDSCO, FDA/State FDA, Department of Animal Husbandry & Dairying, NCB and other permit requirements for controlled/regulated materials.
Ensure Good Distribution Practice (GDP) expectations are met for pharma materials: labeling, pack-out verification, tamper evidence, temperature monitoring devices, chain-of-custody and excursion handling/escalation.
Perform ERP transactions and master data support related to logistics (GR/IR support, shipment references, service entry as applicable) and maintain accurate, audit-ready records.
Coordinate with Procurement and Finance on import supplier invoice processing, remittance support documents, reconciliations, and closure of open items.
Track daily inbound/outbound shipment status and provide clear stakeholder communication; proactively resolve exceptions/delays with forwarders/CHA and internal teams.
Support internal/external audits and inspections (trade compliance, customs, finance and QA audits) by providing documents, traceability records and corrective actions where required.
Drive continuous improvement in logistics processes (cycle time, cost, service levels) and ensure vendor compliance documentation is current (licenses, registrations, SLA/KPIs).
REQUIREMENTS
Education: Graduate degree (Science/Pharmacy/Engineering/Commerce). Diploma/certification in Logistics/Supply Chain is an advantage.
Experience: 3–6 years in import/export and domestic logistics, preferably in pharmaceutical, life sciences or regulated manufacturing/R&D environments.
Regulatory/Compliance knowledge: Working knowledge of Indian customs procedures, Foreign Trade Policy, GST, SEZ movements, documentation controls and audit readiness; familiarity with CDSCO/State FDA shipment permissions is preferred.
Quality & GDP: Understanding of pharma distribution expectations (temperature-controlled shipments, chain-of-custody, documentation integrity and deviation escalation).
Systems: Hands-on experience with ERP and procurement tools (SAP/Ariba preferred) and strong MS Excel skills (tracking, pivots, data validation).
Communication: Strong written and verbal communication in English; Hindi/Marathi preferred for local coordination.
Working style: High attention to detail, strong follow-up, ability to manage multiple time-sensitive shipments and stakeholders.
OTHER ATTRIBUTES DESIRABLE
Ability to work with cross-functional stakeholders (Procurement, Finance, QA, Regulatory, Warehouse/Stores, Lab teams) and external partners (CHA, forwarders, couriers).
Comfortable working in a fast-paced site environment with periodic extended hours to meet shipment cut-offs and customs timelines.
