Job Description
Our client, a globally recognised leader in electro-electronic equipment, focusing on electric motors, drives, automation, renewable energy, and power transmission, is seeking a motivated and enthusiastic Logistics and Warehouse Coordinator to join there team.
The Logistics and Warehouse Coordinator is responsible for coordinating warehouse operations, inventory management, inbound and outbound logistics, and transportation activities to ensure the efficient movement, storage, and distribution of goods. The role ensures compliance with company policies, Zambian customs regulations, safety standards, and customer requirements while maintaining high levels of inventory accuracy and operational efficiency.
Key Responsibilities
Warehouse Operations
- Coordinate and supervise daily warehouse activities, including receiving, storage, picking, packing, and dispatch of goods.
- Ensure all inventory is stored safely and correctly according to company standards.
- Maintain warehouse organization and optimize storage space utilization.
- Monitor warehouse housekeeping and ensure compliance with health and safety requirements.
- Conduct regular cycle counts and stock takes to ensure inventory accuracy.
- Investigate and resolve inventory discrepancies.
Inventory Management
- Monitor stock levels and ensure adequate inventory availability.
- Maintain accurate inventory records within the ERP/SAP system.
- Process stock movements, transfers, adjustments, and reconciliations.
- Generate and analyze inventory reports.
- Coordinate with procurement and sales teams regarding stock availability and replenishment requirements.
- Manage slow-moving, excess, and obsolete inventory.
Logistics Coordination
- Coordinate local and international shipments.
- Arrange transportation with approved freight forwarders and transport providers.
- Track shipments and provide regular updates to stakeholders.
- Ensure timely delivery of goods to customers and branch locations.
- Monitor delivery performance and resolve logistics-related issues.
- Coordinate collection and dispatch schedules to meet customer requirements.
Import and Export Compliance
- Prepare and review shipping documentation, including:
- Liaise with customs clearing agents and regulatory authorities.
- Ensure compliance with Zambian Customs regulations and import/export procedures.
- Support customs audits and provide required documentation.
- Monitor duty, tax, and customs-related processes.
SAP / ERP System Management
- Capture and update warehouse and logistics transactions accurately.
- Process Goods Receipts (GR), Goods Issues (GI), stock transfers, and inventory adjustments.
- Generate logistics and inventory reports from SAP or ERP systems.
- Ensure master data accuracy relating to materials and warehouse operations.
- Support users in resolving logistics and inventory transaction issues.
Customer Service and Coordination
- Work closely with sales, procurement, finance, and operations teams.
- Maintain effective communication with customers regarding deliveries and shipment status.
- Resolve customer logistics and delivery concerns promptly.
- Support continuous improvement initiatives to improve service levels.
Health, Safety and Compliance
- Ensure adherence to company safety procedures and warehouse regulations.
- Promote a safe working environment and report unsafe conditions.
- Ensure compliance with ISO standards, company policies, and local legislation.
- Participate in safety audits and corrective action implementation.
Requirements
- Diploma or Degree in Logistics, Supply Chain Management, Warehousing, Business Administration, or related field.
- Minimum 3-5 years’ experience in logistics, warehousing, or supply chain operations.
- Experience working with SAP or other ERP systems.
- Member of Zambia Chartered Institute of Logistics and Transport (ZCILT)
- Experience in electrical, industrial, manufacturing, or distribution environments.
- Experience managing freight forwarders and transport providers.
- Knowledge of import/export processes and customs regulations.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Strong warehouse and inventory management skills.
- Knowledge of supply chain and logistics processes.
- Knowledge of Zambian customs regulations and import/export procedures.
- Excellent planning and organizational skills.
- Strong analytical and problem-solving abilities.
- Good communication and interpersonal skills.
- Ability to work under pressure and meet deadlines.
- High attention to detail and accuracy.
- Strong customer service orientation.
- Ability to coordinate multiple stakeholders and service providers.
- SAP MM, SD, WM/EWM experience will be an added advantage.
