Logistics and Shipping Coordinator
JOB SUMMARY / PURPOSE
The Logistics Controller is responsible for the end-to-end coordination, control and optimisation of export and local logistics operations. Reporting directly to the Supply Chain Manager, this role ensures operational excellence, freight cost control, statutory compliance and system integrity across all export and local distribution transactions. Strong SAP knowledge is mandatory.
JOB SCOPE / DIMENSIONS
Accountable for end-to-end execution of export and local logistics operations, ensuring on-time delivery and compliance.
Manage freight bookings, transport coordination, documentation accuracy and SAP transaction integrity.
Control freight costs through invoice verification, rate validation and financial period alignment.
Provide shipment visibility, performance reporting and operational support to the Supply Chain Manager.
KEY TASKS AND RESPONSIBILITIES
Export & Sea Freight Control (Container & Bulk)
Manage end-to-end export order processing from order receipt to final delivery.
Validate purchase orders and ensure accurate SAP system capture.
Confirm stock availability and coordinate dispatch planning with warehouses.
Liaise with freight forwarders and shipping lines to secure vessel bookings.
Prepare and validate shipping instructions and documentation.
Monitor vessel schedules and proactively manage shipment risks or delays.
Track DAP/DDP shipments through to final delivery.
Provide regular updates to internal and external stakeholders.
Documentation & Compliance
Ensure accuracy of Bills of Lading, Sea Waybills, Packing Lists, Certificates of Origin, and Certificates of Analysis.
Manage Letters of Credit documentation where applicable.
Ensure compliance with export regulations and customs requirements.
Maintain structured electronic documentation for audit readiness.
Initiate and resolve freight claims (overcharge/undercharge).
Local Transport & Distribution Control
Coordinate local stock movements between sites and warehouses.
Monitor dispatch execution and delivery performance.
Verify and approve transport invoices against agreed contractual rates.
Process Purchase Orders and GRVs in SAP.
Monitor transporter performance and delivery KPIs.
Identify and implement cost-saving initiatives.
Financial & System Control (SAP Mandatory)
Capture and manage logistics transactions accurately in SAP.
Create and manage Purchase Orders, service entries, and GRVs.
Ensure revenue and cost matching within the correct financial period.
Support month-end stock reconciliation and accrual processes.
Maintain freight rate tables and ensure billing accuracy.
Assist in logistics cost reporting and financial analysis.
Reporting & Performance Monitoring
Prepare daily, weekly, and monthly shipment status reports.
Monitor OTIF (On Time In Full) performance.
Track freight cost per ton against budget.
Provide shipment and capacity insights to support S&OP planning.
Highlight operational risks and propose mitigation strategies.
Continuous Improvement & Leadership Contribution
Drive freight cost reduction initiatives aligned to KPIs.
Identify process inefficiencies and implement corrective actions.
Support digital transformation and paperless initiatives.
Participate in cross-functional supply chain projects.
Demonstrate leadership capability and readiness for future management responsibilities.
