Job Specification

Role Profile – Lobby Ambassador

The Receptionist will be primarily responsible for the delivery of the Customer Service experience, ensuring exceptional customer interaction, leaving guests and callers with a positive, professional and lasting impression. She/he will also be multi-skilled to meet the wide and varied requirement of the role.

Reporting to:

Facility Coordinator

  • Key Responsibilities

  • Guest Services & Reception Management– Professionally greet and register guests, issue passes, explain H&S and evacuation procedures, and maintain exceptional visual standards of the reception area

  • Bookings & Logistics Coordination– Manage meeting room and induction bookings, arrange taxis/cars for staff and visitors, and coordinate with courier, shipping companies, and service providers

  • Administrative & IT Operations– Operate IT systems, complete daily checklists and monthly reports, and provide local information (directions, transport updates, flights)

  • Health & Safety Compliance– Maintain awareness of site procedures, follow H&S reporting protocols for incidents/non-conformance, and know fire exit locations and evacuation procedures

  • Team Collaboration & Handovers– Maintain regular contact with FM team members, ensure seamless shift handovers, and recognize Board Members, VPs, and Senior Management

  • Service Excellence & Development– Support the Facility Coordinator with cross-training team members and embrace the "One Team" culture to deliver outstanding customer service
