The Role

Loan operations is the operational backbone of every deal Capchase closes. It is everything between a signed quote and a funded deal. When it runs well, GTM moves fast, customers feel nothing but momentum, and money moves on time.

As a Loan Operations Specialist, you own the execution of that journey. You create the orders, generate and track the documents, chase the signatures, confirm delivery, and get every deal ready-to-fund without anyone having to ask you twice.

You will work day to day with Risk, Capital Markets, and GTM. You will also be the person who sees every manual step in the funnel up close, which makes your input directly useful to the Product team building the agentic workflows that will eventually run these steps without you.

This role suits someone early in their operations career who wants real ownership of a critical process, and who is genuinely pleased when a task they used to do by hand gets automated away.

What you'll do

• Run the ops lifecycle: Own order creation, payment link setup, document generation and tracking, delivery confirmation, and acceptance sign-off. Every step, and the SLA behind it.
• Get deals ready to fund: Work with Risk and Capital Markets to identify what each deal needs, then coordinate with clients and GTM to gather, validate, and structure it. Complete, correct, nothing outstanding.
• Drive proactive outreach: Chase pending documents, signatures, and delivery confirmations before a deal stalls. Keep clients and sales teams informed and unblocked at every stage.
• Surface recurring friction: When the same step slows deal after deal, that is a process failure or a product gap. Document it, diagnose it, and escalate it with a recommended fix.
• Keep the playbooks current: Maintain and extend documentation for every ops scenario, so the team scales, onboarding is fast, and AI agents have the structured context they need.
• Feed the product roadmap: Partner with Product by mapping the manual touchpoints you live in every day. You will not own the build, but your input helps shape what gets automated first.
• Track funnel health: Report on time-to-fund, stage conversion, and document turnaround. Surface blockers early with the data behind them.

What we're looking for

• Operations foundation: 1 to 3 years in loan operations, deal operations, order management, or fintech operations.
• Cross-team coordinator: You have moved information and documents across multiple internal teams and external clients, and kept track of all of it.
• Detail discipline: You notice the missing field, the unsigned page, the date that does not match. In lending, those details are the job.
• Strong English: Clear, direct written and spoken communication in English with clients and internal teams.
• Comfortable with numbers: You can track ops metrics, spot a blocker in the funnel, and act on it rather than just reporting it.
• Automation-minded: You have used automation or AI tools in an ops workflow, or you are eager to. You are energised by making parts of your own job redundant.

Bonus Points

• Exposure to Risk, Legal, or Capital Markets functions.
• Experience with Salesforce or another CRM-embedded operations workflow.
• Background in lending, leasing, or equipment finance.
