  • Enter, update, and reconcile historical and current training records from multiple systems and sources.
  • Assign and monitor required training, including new hire orientation, recurring training, corrective-action training, and other compliance-related learning assignments.
  • Track completion of required training and follow up on outstanding or overdue assignments as needed.
  • Support training and safety recordkeeping requirements associated with OSHA, FRA, MSHA, and customer- or company-specific standards.
  • Generate and distribute recurring and ad hoc reports related to training completion, compliance, Safety and L&D metrics, trends, and key performance indicators.

  • Maintain the integrity and confidentiality of employee, training, safety, and incident-related records.
  • Respond to routine LMS, training, and safety system inquiries and refer more complex issues to the appropriate Learning & Development, Safety, HR, or system owner.
  • Identify opportunities to improve data accuracy, recordkeeping practices, reporting, and administrative processes.
  • Perform other duties as assigned.

WORK EXPERIENCE:

  • One (1) or more years of experience in an administrative, systems administration, Learning & Development, Safety, HR, compliance, or related support role.
  • Previous experience administering an LMS, EHS/Safety Management System, HRIS, or similar business system is highly desired.
  • Experience working with employee records, compliance documentation, training records, or data reporting is preferred.
  • Railroad, construction, industrial, or other safety-sensitive industry experience is a plus.

SKILLS & KNOWLEDGE

  • Strong organizational and time-management skills with the ability to manage multiple priorities and recurring deadlines.
  • Excellent verbal and written communication skills.
  • Ability to work collaboratively with Learning & Development, Safety, Human Resources, Operations, and other internal stakeholders.

  • Proficiency with Microsoft Office applications, particularly Excel, Outlook, Teams, and Word.
  • Ability to learn and effectively administer LMS, EHS, HRIS, and other business systems.
  • Ability to generate, review, and interpret system reports and identify missing or inaccurate information.
  • Strong problem-solving skills with the ability to research routine system or recordkeeping issues and escalate more complex concerns appropriately.
  • Self-motivated and able to work independently while maintaining consistent communication with team members.
  • Familiarity with OSHA, FRA, MSHA, or other safety and training compliance requirements is preferred.
