Responsibilities

The LiveScan Administrative Support role is responsible for providing administrative, operational, and logistics support to the LiveScan department. This position supports order processing, materials coordination, returns processing, and repair-related activities to help ensure accurate fulfillment, timely delivery, and efficient departmental operations. The role works under direct supervision, handles routine issues independently, and escalates more complex matters to appropriate team members or leadership.

Key Responsibilities

  • Review incoming sales and service orders for accuracy, completeness, and potential issues, escalating discrepancies as needed.
  • Pick, prepare, process, and coordinate orders in alignment with department procedures and customer requirements.
  • Verify Bill of Materials accuracy to support complete and accurate order fulfillment.
  • Support department goals related to accurate processing and on-time delivery.
  • Process sales order and service order returns, including logging serial numbers and other required data.
  • Order parts and materials needed for LiveScan device repairs and related service activities.
  • Communicate with sales representatives, project managers, and internal stakeholders regarding scheduling, parts availability, materials ordering, order status, and other relevant information.
  • Maintain accurate records and documentation related to orders, returns, inventory movement, and repair support activities.
  • Assist with routine administrative tasks and departmental coordination to support efficient daily operations.
  • Perform other duties as assigned.

Qualifications

  • High school diploma or GED required.
  • One to two years of experience in a service, logistics, administrative support, operations, or similar role.
  • Working knowledge of logistics, reverse logistics, supply chain processes, order fulfillment, and materials coordination.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and related business tools.
  • Experience using ERP systems or similar order management, inventory, or service management platforms.
  • Strong written and verbal communication skills with a customer-focused approach.
  • Ability to work accurately with order details, serial numbers, documentation, and system records.
  • Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment.
  • Demonstrated reliability, accountability, and attention to detail.
  • Strong work ethic and willingness to support team needs as priorities change.
