Job Description

The Jerome L. Greene Performance Space at WNYC & WQXR is looking for a Live Events Production Coordinator to join our The Green Space (TGS). The Greene Space is the live public embodiment of WNYC, WQXR and WNYC Studios' shows, as well as a producer of our own original programming . We produce 50+ programs each season for in house and digital audiences, including discussions, debates, concerts, game shows, podcast tapings, and theatrical productions. The Greene Space also operates as a rental venue, hosting events for external clients and partners.

The Live Events Production Coordinator supports the planning and execution of live events, including ticketed programming, show events, internal events, and rentals. Working closely with the Director of Event Operations and the rest of the Events team, show teams, clients, and internal partners, the Coordinator helps ensure events are well organized, properly staffed, and successfully executed from initial planning through event wrap. This position reports to the Director of Events and Venue Operations.

Our live events producers must have relevant production experience along with excellent judgment, ability to manage competing deadlines, strong verbal and written communication skills, team spirit, and good humor. Previous experience in live events is strongly preferred, but flexibility and willingness to learn is prized above all.

RESPONSIBILITIES

Under the supervision of the Director of Events and Venue Operations, the Coordinator is responsible for learning all aspects of the live event space, including:

LIVE EVENT PRODUCTION:

• Coordinate the planning and execution of live events, rentals, and special programming, supporting projects from initial planning through day-of production and post-event wrap.
• Maintain timeline, run-of-show documents, production schedules, and event checklists.
• Serve as a point of contact for internal show teams, external clients, talent, and vendors, helping communicate schedules, requirements, and event details.
• Coordinate event logistics, including staffing, catering, security, facilities, equipment, guest and comp lists, ticketing, and other event needs.
• Work closely with technical and production staff to confirm audio, video, lighting, staging, recording, and livestream requirements as needed.
• Provide on-site event support, including load-in, setup, client and talent needs, audience arrival, event execution, and breakdown.
• Provide additional production and operational support as the live-events portfolio grows.

MARKETING/PROMOTION:

• Coordinate with Audience, Marketing, Social, Development, Sponsorship, Membership, and show teams to support event promotion, audience development, and revenue opportunities.

ADMIN:

• Support ticketing and attendance tracking, including monitoring sales, comps, capacity, and final attendance.
• Assist in admin responsibilities, including issuing SLAs, tracking invoices & expenses, vendor contracts, and financial reconciliation.
• Maintain the events calendar, Airtable/database, production documentation, and event assets, ensuring information is accurate and accessible across teams and on the website..
• Support compliance with venue and organizational requirements, including insurance, accessibility, fire and safety regulations, and alcohol permitting where applicable.
• Conduct post-event wrap-ups and help track attendance, revenue, expenses, audience insights, and other key learnings.
• Coordinate food and beverage orders
• Partner with the Director of Events Operations and Sr. Director of Operations to audit, document and improve event workflows and contribute to maintaining an events production playbook.

Qualifications

• Strong organizational and project coordination skills with excellent attention to detail.
• Ability to manage multiple events, deadlines, and stakeholders simultaneously.
• Strong interpersonal and communication skills and comfort working with clients, talent, producers, vendors, and technical teams.
• Enthusiasm for a live production environment that sometimes requires shifting gears quickly or pressure to meet deadlines
• Ability to think critically, creatively, and proactively solve problems
• High EQ: You are intuitive and can easily work with and for diverse people with different capabilities and needs, whether they’re colleagues, talent, or audience members
• Excellent communication skills, written and verbal
• Comfortable working with spreadsheets, calendars, databases, budgets, and project-management tools.
• Love for live performance, art, and journalism and a commitment to highlighting the work of BIPOC artists and journalists
• Experience working for a media or performing arts organization is preferred
• Experience with event production, venue operations, ticketing, or live audio/video production is preferred.
• Availability to work evenings and occasional weekends based on the event schedule.

Additional Information

This is a permanent full-time role scheduled at 25 hours per week, compensated at an hourly rate of $35.31. Compensation offered within this range is determined by skills, experience and organizational pay equity. This role includes pro-rated time off benefits including holidays, sick and vacation time. This role requires some weekend, holiday and overnight shifts.

This position is covered by a collective bargaining agreement between New York Public Radio and SAG-AFTRA.
