Litigation Legal Administrative Assistant – Appellate

Jackson Walker, the largest law firm in Texas, has an exciting full-time employment opportunity for a Litigation Legal Administrative Assistant (Appellate) in our Austin office. The Litigation Legal Administrative Assistant (Appellate) supports the delivery of high-quality legal services by providing advanced administrative and legal support to attorneys within the Firm's Appellate Practice.

This role is responsible for preparing, proofreading, formatting, and filing appellate and litigation documents, coordinating case-related activities, maintaining calendars and deadlines, managing attorney workflow, and supporting client service initiatives. The position requires extensive experience with appellate procedures, advanced document formatting, court filing requirements, and legal technology platforms.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Appellate & Litigation Support

  • Prepare, proofread, revise, and format appellate briefs, pleadings, motions, correspondence, memoranda, exhibits, and related legal documents.
  • Assist with preparation and maintenance of appellate records, appendices, notebooks, exhibits, and supporting materials.
  • Prepare and maintain tables of contents, tables of authorities, cross-references, and document citations.
  • Ensure compliance with applicable court rules, filing requirements, and attorney preferences.
  • Maintain attorney-specific case lists, status reports, and matter tracking tools.

Court Filings & Case Management

  • Prepare and submit electronic filings in Texas state courts, federal courts, and appellate courts.
  • Monitor court filings, deadlines, hearings, and docket activity.
  • Maintain accurate calendaring of litigation and appellate deadlines.
  • Coordinate filing requirements and ensure compliance with local rules and judge-specific procedures.
  • Assist with opening new matters and submitting conflict requests.

Document Production & Technology

  • Utilize advanced Microsoft Word functions, including styles, track changes, cross-referencing, and document automation tools.
  • Use Adobe Acrobat to edit, organize, combine, convert, and manage PDF documents.
  • Create and manage appellate appendices and consolidated PDF filings.
  • Utilize Best Authority and other appellate software to prepare and update tables and citations.
  • Maintain electronic documents within the Firm's document management system.

Administrative & Financial Support

  • Coordinate attorney travel, meetings, and scheduling needs.
  • Prepare and submit client intake forms and matter-opening documentation.
  • Enter, review, and revise attorney time entries.
  • Participate in prebill review and billing processes.
  • Prepare expense reimbursements and check requests.
  • Maintain organized client files, notebooks, and litigation records.

Client Service & Team Collaboration

  • Provide exceptional client service through professional communication and responsiveness.
  • Communicate effectively with clients, courts, opposing counsel, vendors, and Firm personnel.
  • Collaborate with attorneys and team members to ensure efficient workflow and case support.
  • Provide backup assistance and overflow support as needed.
  • Perform additional administrative and legal support duties as assigned.

QUALIFICATIONS:

  • High school diploma or GED required; bachelor's degree preferred.
  • Minimum of 5 years of experience supporting litigation and appellate attorneys in a law firm environment required.
  • Experience with Texas state court, federal court, and appellate court filing procedures required.
  • Experience using Best Authority required.
  • Experience supporting both appellate and complex commercial litigation practices.
  • Experience preparing appellate briefs, appendices, tables of authorities, and tables of contents required.
  • Advanced proficiency in Microsoft Office Suite, particularly Word, Outlook, Excel, and PowerPoint.
  • Advanced proficiency with Adobe Acrobat and PDF document management.
  • Experience with document management systems; iManage experience preferred.
  • Experience with e-filing platforms, time entry systems, and conflicts management processes.
  • Strong understanding of appellate procedures, court rules, and filing requirements.
  • Excellent written and verbal communication skills.
  • Strong proofreading, grammar, spelling, and formatting skills.
  • Strong organizational skills with exceptional attention to detail.
  • Ability to prioritize multiple assignments and work effectively under deadlines.
  • Ability to maintain confidentiality and exercise discretion.
  • Fluency in Spanish preferred.

WORK CONDITIONS:

This position operates in a professional office environment with standard office equipment. Extended hours may be required to meet filing deadlines, court schedules, and business needs.
