Support the Company’s state licensing and regulatory compliance obligations as a national Professional Employer Organization (PEO). This role is responsible for assisting with state-specific filings, tracking regulatory requirements, maintaining compliance records, and coordinating across internal teams to ensure ongoing compliance with U.S. PEO laws and regulations.

This position plays a key role in supporting audits, monitoring legislative changes, and ensuring compliance processes are documented, accurate, and consistently executed across jurisdictions.

Essential duties and responsibilities:
  • Manage the preparation, submission, and tracking of PEO licenses, renewals, and amendments across U.S. states
  • Prepare, coordinate, and maintain documentation related to ESAC and/or EMAC filings, renewals, and ongoing compliance requirements
  • Manage ongoing compliance requirements related to PEO licenses, including process development and improvement
  • Support quarterly, annual, and ad hoc state-mandated filings and reports
  • Maintain detailed records of licenses, filings, deadlines, and correspondence with state agencies
  • Manage entity administration, including entity registrations, annual reporting, and state filings.
  • Support consolidation and ongoing management of registered agent services, including coordination with vendors and internal stakeholders.
  • Track and monitor U.S. state-specific laws, regulations, and licensing requirements impacting PEO operations
  • Escalate regulatory changes or compliance risks to leadership
  • Gather documentation and work cross-functionally to ensure timely and accurate responses
  • Support investigations or escalations related to licensing or compliance matters
  • Serve as a point of contact for internal questions related to licensing status, state notices, and compliance documentation
  • Maintain compliance trackers, calendars, and internal documentation
  • Assist in annual audits conducted by departments on various products and services
  • Manage state requests for client information
  • Assist with other legal and compliance projects as needed
Required Qualifications:
  • Education: Bachelor’s degree
  • Years of work experience: 3-5 years of business experience in a fast-paced collaborative environment.
  • Years of work experience continued: 3+ years of PEO, employee leasing experience, legal, or regulatory experience. Must have experience working for a PEO or PEO licensing agency.
  • Strong understanding of U.S. PEO licensing laws and requirements
  • Strong familiarity with state labor laws, workers’ compensation, unemployment insurance, and tax regulations as they relate to PEO operations.
Preferred Qualifications:
  • Experience supporting ESAC and/or EMAC filings, renewals, or audits strongly preferred
  • Ability to effectively manage multiple priorities and projects at once.
  • High level time and work management skills.
  • Ability to work in a fast-paced environment.
  • A high degree of personal integrity and maturity including the ability to manage sensitive and confidential information.
  • Outstanding interpersonal and customer service skills with the ability to work both independently and as part of a team.
  • Strong organizational skills, attention to detail and analytical reasoning, and the ability to manage multiple processes and priorities at once.
  • Ability to exercise discretion, judgment, tact and poise in handling highly sensitive and confidential information.
  • Excellent written, verbal and interpersonal communications skills.
