Are you a highly organized administrative professional with a passion for accuracy, records management, and service excellence? AGLC is seeking a Licensing Records Administrator to join our team.

Reporting to the Supervisor, Licensing Records, the Licensing Records Administrator provides administrative and records management support to the Regulatory Services Division. This role is responsible for the accurate creation, maintenance, organization, and archiving of licensing records related to charitable gaming, liquor, cannabis, and casino facility operations.

As a Licensing Records Administrator, you will:

• Receive, review and process incoming documentation received through email, fax, mail, and other channels.
• Scan, print, stamp, and digitally manage licensing records and correspondence.
• Log and track incoming documents within the Gaming Licensing System (GLS) and PCL Enterprise.
• Create, maintain, and update records and files for charitable gaming organizations, ensuring accuracy, completeness, and compliance with regulatory requirements.
• Communicate with applicants and organizations to obtain missing, incomplete, or corrected documentation.
• Retrieve archived records and collaborate with Records Management to facilitate file retrieval through Records Pointe.
• Maintain both electronic and paper filing systems in accordance with established records management practices.
• Process inactive files for archiving and ensure records are retained and managed according to organizational standards.
• Contribute to the efficient administration of licensing records while supporting service excellence within the Regulatory Services Division.

SKILLS & ABILITIES

• High school diploma supplemented by one (1) year related experience in records administration, information management, licensing administration, or a related administrative role.
• Experience working with electronic records management, document management, or case management systems.
• Knowledge of records and information management principles, practices, and retention requirements, with the ability to maintain accurate and complete records.
• Strong proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Teams, with the ability to learn new systems and technologies efficiently.
• Demonstrated commitment to accuracy, quality, and attention to detail when reviewing, entering, and maintaining information.
• Strong organizational and time management skills, with the ability to manage multiple priorities, meet deadlines, and adapt to changing business needs.
• Assets include:
  • Post-secondary education or coursework in Records Management, Information Management, Office Administration, Business Administration or a related field.
  • Experience working within a public sector, regulatory, or government environment.
  • Familiarity with AGLC policies, procedures, and regulatory frameworks.
