Job purpose

The purpose of this position is to support and supplement the General Manager in the successful completion of their duties and responsibilities. This position will be expected to multi-task across three specific areas that are present within the Home Owner’s Association staff: Administration, Lifestyle, and Facility The individual must be willing and capable of obtaining a Florida Community Association Manager (CAM) License no later than 180 days following employment.

Duties and responsibilities (Administration -Assist in and Understand below Duties)

  • Acts as a first point of contact and responds or directs people accordingly to the appropriate Staff member;
  • Responds to resident billing and other inquiries;
  • Collects and audits vendor invoices, post all payables and process invoices for final payment in an appropriate and timely manner;
  • Maintains membership programs, forms, guest passes, register guests for events, classes, collect payments;
  • Purchases and maintains office supplies within budget as approved;
  • Assists with processing of estoppels letters, certificates of approval and architectural review applications;
  • Upon receipt of closing documents, establishes and maintains files for each resident;
  • Provides clerical assistance to include preparing meeting minute;
  • Enforces Board approved rules for use of Clubhouse and other amenities;
  • Assists with accounting practices to include preparing and making deposits, and assists with payroll biweekly.
  • Gathers a working knowledge of the Community Doc’s and Rule’s & Regulations;
  • Assists with other duties as assigned.

Duties and responsibilities (Lifestyle)

  • Assists in the planning, coordination and implementation of resident programs, classes, instructors and special community-wide events;
  • Assists Lifestyle Director in marketing and setting up and hosting events as needed;
  • Assists members, clubs, chartered clubs and community organizations in the scheduling of facilities, to include programs and room requirements, coordination with other departments, and arrangements for the collection of use fees and security deposits as applicable;
  • Assists in the New Resident Orientation newcomer presentations to ensure adequate promotion, room set-up, amenities and community participation;
  • Assists in coordinating the development and publication of the community newsletter, community emails, community Facebook Page and other lifestyle publications assigned;
  • Assists residents in the establishment of chartered clubs. Provides assistance in the application for charter process, assignment of facility space, development and promotion of programs, and file maintenance;
  • Assists in developing an active volunteer program among residents, providing for both promotion and recognition;
  • Assists in communicating and working with the Developer to manage community/lifestyle questions, training, promotion of lifestyle, and provides sales and marketing assistance;
  • Assists in the creation and management of the annual lifestyle budget;
  • Assists in developing and maintaining forms, documents and applications as needed;
  • Assist in coordinating and working closely with the Community Manager, General Manager, Restaurant Manager, Executive Chef, Director of Golf, Fitness personnel, contractors and corporate personnel;
  • Assists with other duties as assigned.

Duties and responsibilities (Facility)

  • Assists in managing the maintenance, repair and restoration of any and all physical assets within the Homeowner Association portfolio of buildings, structures, gates, amenities and recreational assets including gym, motion room, pools, spa, steam room and sauna;
  • Assists in managing the operation of facility audio and video equipment, security systems, cameras and other apparatus used for these purposes;
  • Assists in coordination with contractors, vendors or event entertainment representatives in the execution of amenity and lifestyle events as needed;
  • Assists with other duties as assigned.

Qualifications

Two or more years of direct Managerial Experience, preferably in an active adult Hospitality industry or environment with two or more direct reports;

Five or more years of Administrative support and/or office experience or any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Licensed Community Association Manager (CAM) License.

Two or more years of Lifestyle or Activities Experience, marketing and sales, computer operations or program development, Office or similar software, graphics and event flyer development.

An associates or higher degree in either administration management, recreation management or facility management is preferred. An equivalent and documentable combination of experience and/or education from which comparable knowledge, skills and abilities were obtained may substitute for a preferred degree.

Successful completion of a skills test in any one of the three areas of management may be required.

Working conditions

Work is both indoors and outdoors. Potential exposure to sharp and rapid equipment movement, sharp utensils, harmful chemicals and/or solvents if proper safety procedures are not followed.

Physical requirements

Good organizational and verbal skills. Ability to use logical and rational thinking to resolve issues. Ability to perform basic mathematical skills, monitor and develop subordinates, visually monitor the operation areas and write and read member communication.

Must have the ability to perform moderate physical work and may be required to lift up to 40 lbs., and up to 30 lbs. frequently. Perform activities such as bending, kneeling, crouching, climbing, reaching, standing, pushing, lifting and grasping for up to 5 hours without sitting. Ability to consistently lift, carry and load adaptive and other sports equipment that may weigh 30 or more pounds, and sustain aerobic activity for 20 consecutive minutes.

Please be advised that all work that requires the use of a ladder more than 8 ft. long must be reviewed by Hampton Golf’s Club Maintenance person. Following an assessment of the situation, a determination will be made as to whether a maintenance team member or subcontractors will perform the necessary maintenance task. No other staff member is authorized to climb to heights exceeding 8 ft. and/or perform such maintenance. In addition, personnel are prohibited from entering facility attics, walking on the roof of buildings and/or from using scaffolding.

Use the following safety precautions when using an 8ft. ladder:

  • Correct placement of the ladder. The safest angle for a straight ladder is to ensure it is placed on-fourth the distance from the base to the point of support. “A” frame ladders naturally comply.
  • Ensure the ladder is placed on a firm level surface, and do not place the ladder near a doorway.
  • Ensure there are non-skid shoes on the ladder.
  • If using a medal ladder, be sure that it is not near electrical wires.
  • One person on a ladder at one time, and ensure another staff member is holding the ladder in position.
  • Never overreach.
