This role will be based in our Miami office, on an in-office basis. Regular in-office presence is required for day-to-day operations, as well as for team meetings, training opportunities, and relationship building.
The Legal Support Specialist serves as a key point of contact for both internal and external clients, acting as a liaison between attorneys and clients. This role involves managing legal documents, maintaining case files, coordinating attorney schedules, and assisting with billing and administrative tasks. Candidates should be flexible to work overtime as needed.
Key Responsibilities
Document Preparation & Management Drafts, edits, proofreads, and organizes legal documents and correspondence.
File Organization Maintains and manages legal files, ensuring accuracy and accessibility.
Billing & Time Entry Processes attorney time entries, manages billing, and assists with collections.
Scheduling & Travel Coordination Maintains busy calendars, schedules appointments, arranges complex travel plans, and processes related expenses.
Client & Attorney Support Serves as a liaison between attorneys and clients, assisting in client relationship management.
Administrative Duties Manages attorneys' emails and calls, processes expense reimbursements, and performs other office responsibilities as needed.
Qualifications
Skills & Competencies
Highly organized, detail-oriented, and able to multitask in a fast-paced environment.
Strong communication skills, both written and verbal.
Fluency in English and Spanish, including the ability to read and write business and legal documents in both languages; Portuguese is a plus.
Proactive and self-motivated, with the ability to work independently and collaboratively.
Exceptional client service skills with a professional and polished demeanor.
Ability to work under pressure and meet strict deadlines.
Flexibility to work overtime as needed.
Education & Prior Experience
Minimum of five years of experience as an administrative or executive assistant in a professional environment, preferably in a law firm.
At least two years of legal secretary experience at a mid-to-large law firm.
Experience in a fast-paced, executive-level work environment is highly desirable.
Bachelor’s degree or equivalent experience preferred.
Technology
Proficiency with Windows-based software and Microsoft Word, PowerPoint, Excel, and Outlook.
Experience with iManage and/or Filesite is a plus.
