Role Purpose: As part of the Legal Services team within Legal Operations, the Legal Operations Specialist supports the efficient day-to-day functioning of the Legal Department. The role combines administrative support to senior legal leaders with operational support for Legal Operations processes, systems, and initiatives. The position contributes to ensuring smooth internal service delivery, maintaining legal documentation and workflows, and supporting engagement, learning, and communication activities across the Legal function.

Accountabilities:

Executive & Administrative Support

  • Provide administrative support to senior members of the Legal Department.
  • Manage complex calendars in MS Outlook, including scheduling and coordination of recurring and ad hoc meetings.
  • Organize and support team meetings, including preparation of agendas, minutes, presentation materials, and circulation of pre-reads.
  • Facilitate virtual meetings using MS Teams and Zoom.
  • Coordinate travel arrangements and manage expense submissions.
  • Provide general administrative support to Legal teams, including document formatting and preparation using MS Office and collaboration tools.

Contract & Document Management

  • Monitor contract and document workflows to ensure timely progression and compliance with internal processes.
  • Support contract execution, including coordination of electronic signatures using DocuSign.
  • Maintain and organize legal documentation within the company’s document repositories and contract management systems.
  • Ensure accurate electronic filing and document version control.

Legal Operations & Process Support

  • Support the documentation, implementation, and continuous improvement of Legal Operations processes.
  • Assist with maintaining Teams folders, SharePoint sites, metadata, organizational charts, and other departmental repositories.

Engagement, Learning & Communications

  • Support engagement and internal communication initiatives within the Legal Department.
  • Coordinate logistics for training sessions, workshops, and departmental events.
  • Track attendance, gather feedback, and support follow-up activities such as surveys and reporting.

Qualifications

  • minimum 3 years of experience in an administrative or operational support role. Experience within a law firm or in-house legal department is an advantage.
  • Bachelor’s degree in Business Administration or a related field.
  • Strong digital literacy and comfort working with modern workplace technology, including AI tools.
  • Proficiency in Microsoft Office applications, including SharePoint.
  • Experience with collaboration and virtual meeting platforms such as MS Teams and Zoom.
  • Experience with document management or contract management systems is an advantage.
  • Ability to quickly learn and adapt to new digital tools and processes.
  • Fluency in English; additional languages are a plus.
  • Strong service orientation and ability to build trusted relationships across teams and functions.
  • High level of discretion and ability to manage confidential information.
  • Excellent organizational and time-management skills with the ability to prioritize multiple tasks and deadlines.
  • Strong attention to detail with a proactive and solution-oriented mindset.
  • Excellent communication and stakeholder management skills.
  • Ability to work independently as well as collaboratively in international and cross-functional teams.
