The Legal Operations & Compliance Specialist serves as the primary point of contact for legal services within RMIT's Legal & Compliance Department. This role is essential for developing, maintaining, and ensuring compliance with relevant laws, policies, and systems throughout the university. The Legal Operations & Compliance Specialist must provide timely and high level of customer-focused support and stakeholder management within the Legal & Compliance team.
Key Accountabilities Summary
Legal Services and Compliance Task:
Administer the Service Connect platform for the L&C Department, triaging incoming requests and assigning matters to the appropriate team member.
Be responsible for providing high-quality legal services, including serving as the initial checkpoint for legal processes, procedures, and provisions submitted to the Legal Department and proposing legislative solutions and counsel to requesters for legal concerns;
Serve as the initial point of contact for contracting queries from internal stakeholders including reviewing contracts following RMIT compliance; advising and implementing technical modification where needed; providing guidance on processes, templates, and procedures.
Manage the formulation and management of letter of delegation system including routine and ad-hoc ones, to ensure smooth day-to-day operation for RMIT;
In consultation with Senior Manager, conduct periodic reviews of existing contract templates and recommend the development of additional templates as needed.
Ensure the University's adherence to regulatory compliance programs from the government. staying updated on legal news, policies, decisions, and procedures releasing by the government; Support in the monthly, quarterly legal update to L&C Department and key stakeholders;
Implement and maintain standardized procedures for physical stamps and electronic signatures to ensure the validity of RMIT contracts.
Oversee and evaluate departmental compliance self-assessments to ensure the University's adherence to legislative provisions.
Contribute in management of legislative and policy change communication process, including tracking regulatory updates and disseminating relevant information to affected stakeholders in a timely manner; Support in training and awareness initiatives for non-legal stakeholders.
Liaison and work with related authority officers for the licensing process for RMIT VN. Support in the RMIT Vietnam’s licensing application and regulatory submissions and liaise with related authority officers where appropriate.
Legal Operations and Administration Support:
Support in management of the overall day-to-day operational functions of the L&C Department, acting as the central coordinator across the team; including coordinating and facilitating L&C team meetings to ensure accountability and momentum and supporting the adoption of legal technology solutions within the L&C Department where possible;
Assist in managing the L&C department's supplier list and allocation budget.
Ensure the timely and accurate processing of payment claims.
Maintain proper document archiving and storage.
Provide general administrative support to the L&C team including oversee the L&C departmental calendar, tracking key deadlines, external counsel contract renewals, reporting cycles, licensing milestones, and compliance review schedules to ensure the Director and Senior Managers are appropriately briefed and prepared;
Develop and maintain a central knowledge repository for the L&C team, including precedents, know-how documents, legal updates, and templates, ensuring it is organised, current, and accessible.
Other tasks as assigned by the line manager.
Other duties commensurate with the scope of the role.
Key Selection Criteria
Bachelor’s degree, in Law.
At least 5 years’ experience working in a similar role or a related job role in legal
Excellent communication skills, both written and verbal. Experience from working within the corporate sector in education industry is an advantage.
Excellent customer service skills with a professional and proactive approach.
High level of accuracy and confidentiality in all correspondence and administrative documents adhering to the University and departmental standards
Excellent organisational skills and attention to detail;
Demonstrates ability to analyse, interpret, evaluate and present information;
Well-develop interpersonal skills, including negotiation, liaison and cross-cultural communication;
Advanced IT skills with knowledge of Microsoft Word, Excel, Access, PowerPoint and other relevant business software.
Demonstrated ability to show initiative, think outside the box and creatively solve problems.
Ability to display appropriate behaviours in line with the position, RMIT Values and RMIT Leadership Model.
