The Attorney General’s Office is recruiting for a permanent full time Legal Office Assistant in the Medicaid Fraud & Abuse Division. This position is located in Olympia, Washington, and is represented by the Washington Federation of State Employees (WFSE).
Legal Office Assistant Salary Range 40: $43,836 - $58,392 Annually
The base pay offered will take into account internal equity and may vary depending on the preferred candidate’s job-related knowledge, skills, and experience.

The work of the Office’s Medicaid Fraud & Abuse Division (MFAD) focuses on both criminal and civil law enforcement. The 75% federally funded MFAD‘s mission is combating provider fraud, abuse and neglect in residential facilities and involving Medicaid recipients in non-institutional settings. MFAD’s Headquarters is located in Olympia, Washington with some team members also located at the AGO's Spokane Office and Seattle Office. The Division currently has a staff of 84 FTEs, including attorneys, auditors, special agents, data analysts, clinical health investigators and professional support staff.
MFAD involves protecting not only the Medicaid program of roughly 22.9 billion dollars per annum, but also its most vulnerable persons, typically elderly persons in residential facilities or persons abused or neglected by a Medicaid Provider. In many of our cases, there is no precedent so MFAD is consistently on the cutting edge of legal theories and issues. The cases range from abuse and neglect of persons in nursing homes, large scale organized individual and corporate civil and criminal fraudulent activity to national whistleblower actions. Our staff is a highly professional, fun and seasoned analytical investigative team. MFAD is unique in that all cases have an attorney, special agent, data analyst assigned with legal support. This, and the great people who make up the division, gives MFAD a particularly terrific team atmosphere.
The Legal Office Assistant provides administrative and legal support to the division and works closely with the Grant and Operations Manager (GOM), the existing Legal Office Assistant, and the Administrative Assistant to ensure efficient and effective daily operations. This position assists in managing office inventory by monitoring supply levels, restocking materials, and maintaining an organized supply room. The Legal Office Assistant answers, screens, and routes incoming telephone calls; assists with copiers, printers, and other office equipment; and coordinates maintenance or troubleshoots minor technical issues as needed.
The Legal Office Assistant performs a variety of general administrative tasks, including photocopying, scanning, document preparation, and maintaining internal contact lists, directories, and other organizational resources. Legal support duties include filing documents with courts, obtaining attorney signatures, processing incoming mail and email, and delivering documents or checks to courts, fiscal offices, or other agencies. The position supports case management by opening and closing cases, saving and organizing documents, creating and maintaining electronic and physical folder structures, and verifying case information in the case management system (CMS). The Legal Office Assistant also organizes and maintains legal documents, evidence, and exhibits to ensure accuracy, accessibility, and compliance with established procedures and deadlines.
In addition, the Legal Office Assistant assists with travel and expense-related processes, including making travel arrangements such as reserving flights, lodging, and rental cars, and supporting travel reimbursements, vendor payments, and expense processing. The position maintains accurate electronic and hard copy records of receipts, invoices, training logs, and other office and fiscal documents in accordance with AGO and OFM guidelines, and assists with records management and archiving of case files to ensure proper retention and disposition practices. The Legal Office Assistant also supports vehicle records, mileage logs, maintenance schedules, and the Critical Events Calendar, participates in recurring reporting tasks and office projects, and performs other related duties as assigned to support the overall efficiency and effectiveness of the division.

Option 1: High School diploma or equivalent and two years of clerical experience including a minimum of six months of experience in a legal office environment.
Option 2: One year of legal office experience.
Option 3: A combination of two years of college education and/or relevant experience.
Option 4: A two-year degree in Legal Secretary Studies, Paralegal studies or related field of study.
A background check consisting of employment history, professional references and educational verification (e.g., degree, license, or official transcript) may be conducted. Prior to any offer, the applicant selected will be required to submit to and pass a fingerprint-based criminal background check conducted by the Washington State Patrol, Criminal Records Division. The incumbent will submit to additional background checks as a condition of employment every five (5) years thereafter.
