Responsibilities

What You’ll Do

Supports a team of legal professionals, performs a variety of legal and administrative support duties contributing to the department’s goals and objectives and advancing the mission of SAG-AFTRA.

ESSENTIAL DUTIES & RESPONSIBILITIES:

LEGAL SUPPORT:

  • Accept service of and prepare responses to subpoenas – evaluate the subpoena, conduct research and/or pull necessary information.
  • Prepare and serve arbitration demands and other filings.
  • Prepare arbitration exhibits.
  • Prepare, distribute and archive correspondence, including but not limited to Court pleadings and arbitration pleadings.
  • Develop reports and perform research for supervisors in support of legal proceedings.
  • Maintain client-privilege level department files for the team (i.e. member discipline, government affairs, employee cases, etc.).
  • Serve as a first level interface for department clientele, from employees to executives, and members to senior studio executives, exercising the highest level of discretion and confidentiality for each interaction.

ADMINISTRATIVE SUPPORT:

  • Screen visitors and telephone calls.
  • Prepare, handle and track mass mailings of checks and correspondence.
  • Receive and distribute department mail.
  • Serve as backup to others within the legal support team.
  • Receive and return phone calls, as required.
  • May coordinate travel arrangements.
  • May be required to attend, record and compose minutes for meetings.
  • May schedule meetings and arrange conference calls.
  • May prepare expense reports.
  • Transcribe or take dictation, if requested.
  • Generate correspondence, if requested.
  • Perform other duties as assigned or as the situation dictates.

REQUIRED KNOWLEDGE, SKILLS & ABILITIES:

  • Must deal with confidential matters in a professional and discreet manner.
  • Able to effectively communicate in English through oral and written communication methods.
  • Able to use both Microsoft and Google applications and other internal information management systems (GSuite/Google Docs/Google Sheets/Google Slides/Gmail/Time Matters/Oracle/Documentum/Cara).
  • Detail oriented.
  • Able to organize, prioritize, and coordinate multiple tasks under daily deadlines.
  • Able to professionally field calls from/deal with irate, hostile, and/or difficult personalities.
  • Capable of taking direction from more than one supervisor.
  • Superlative interpersonal skills: high degree of patience and tact. Must be able to cultivate respectful, strategic and collaborative relationships with people from diverse backgrounds, both internally and externally.
  • Hold yourself and others accountable for a high level of performance and integrity.
  • Must be able to work in a challenging environment where constructive feedback from others is encouraged.
  • Must maintain regular and acceptable attendance at such a level as is determined at SAG-AFTRA’s sole discretion.
  • Must be available and willing to work extended hours (and/or overtime for applicable non-exempt positions) per day or per week, including weekends and holidays, as SAG-AFTRA determines is necessary to meet its business needs.
  • Must be available and willing to travel to such locations and with such frequency as SAG-AFTRA determines is necessary or desirable to meet its business needs.

MINIMUM QUALIFICATIONS:

Education and/or Experience:

  • High school diploma or equivalent, with minimum of 4 years’ relevant experience in a legal support capacity; College degree or applicable college courses a plus.
  • Pass typing test with 45 WPM
