Job Description

Reporting jointly to the legal professionals in the share and the Manager, Legal Assistant Services in our Toronto office, the successful candidate will independently manage the daily activities of a team of legal professionals in the Labour, Employment and Human Rights (LEHR) department.

Hours of work are from 9:00 a.m. to 5:00 p.m. ET. Occasional pre-authorized overtime may be required to meet client needs. This is a hybrid role requiring three (3) days in office.

Primary Responsibilities:

  • Provide high-level support to legal professionals with busy Labour, Employment and Human Rights practices
  • Draft, format, proofread, serve, and file legal documents with the Ontario Courts, the Labour Relations Board, the CIRB, and the Human Rights Tribunal of Ontario (HRTO)
  • Open new matters, coordinate conflict checks, and maintain accurate matter information in firm systems
  • Manage multiple calendars, including scheduling meetings, mediations, hearings, court appearances, and arbitrations, while tracking all related deadlines
  • Monitor limitation periods and statutory deadlines to ensure timely filings and submissions
  • Maintain, organize and update confidential client files, both digital and physical formats
  • Communicate professionally with clients, opposing counsel, courts, tribunals and other external parties
  • Review, prepare, and quality-check legal documents for accuracy and completeness
  • Support billing and time entry processes, ensuring timely and accurate submissions
  • Track complex billing requirements for clients, including rate structures, billing guidelines, and required documentation for invoice approval
  • Use legal software and tools for case management, e-discovery, and document automation
  • Draft routine correspondence, memos, and letters for lawyer review
  • Coordinate with mediators, arbitrators, experts, and service providers as required
  • Prepare materials for hearings, mediations, and client meetings, including assembling briefs, exhibits, and correspondence
  • Collaborate with legal professionals and other assistants to meet deadlines and adapt to shifting priorities
  • Ensure compliance with legal standards and ethical guidelines
  • Deliver excellent client service and help maintain strong client relationships
  • Perform other administrative tasks as needed to support the firm’s operations

Required Knowledge and Experience

  • Post-secondary education in Office Administration (Legal), Law Clerk program or related field preferred
  • Minimum 3 years of experience in Labour and Employment Law
  • Experience with Ontario court processes
  • Strong knowledge in HRTO rules
  • Proficiency in legal software and Microsoft Office Suite
  • Familiarity with key business cycles and procedures (e.g. closings, court filings)

Pay Range

$55,000 to $75,000 per annum. Pay range to be commensurate with experience.
