Job Description

Our Plantation office is seeking a dependable and organized Foreclosure Administrative Assistant to support our default and foreclosure legal team. In this role, you will help manage client relationships, track file milestones, and ensure we meet vital regulatory and client deadlines while serving as a key link between our firm, mortgage servicers, and internal staff.

What You'll Do

As an administrative anchor for our department, you will keep daily operations running smoothly, efficiently, and compliantly.

  • Document Drafting: Prepare and draft standard legal and administrative documents to support daily foreclosure operations.
  • Client Communication: Act as a reliable point of contact for institutional clients, fielding inquiries via phone, email, and online servicer portals.
  • Milestone & Timeline Tracking: Monitor active files against strict court and client timelines to ensure nothing falls through the cracks.
  • Performance Tracking: Monitor client scorecards and reporting schedules, helping to identify and clear out processing bottlenecks.
  • Compliance & Audits: Assist with internal quality checks, regulatory compliance tasks, and client audits.
  • Reporting: Compile case histories and pull reports for senior leadership.
  • System & Team Support: Respond to case management system alerts, client updates, and workflow changes while collaborating closely with attorneys and paralegals.

Required Qualifications

  • 2+ years of administrative or support experience in default services, bankruptcy, real estate litigation, or mortgage servicing.
  • Strong technical skills, including proficiency in Microsoft Office (Word, Excel) and familiarity with legal case management or default platforms.
  • Clear, professional written and verbal communication skills.
  • Exceptional organizational skills, extreme attention to detail, and the ability to juggle multiple deadlines.
  • A balanced work style: capable of independent execution while being a collaborative team player.

Preferred Qualifications

  • Familiarity with standard default timelines and investor guidelines (e.g., Fannie Mae, Freddie Mac, FHA).
  • Experience managing or reviewing client scorecards and performance metrics.
  • Working knowledge of judicial and non-judicial foreclosure processes, or a background in financial compliance/audit support.
