Job Description

Key purpose:

To provide general administrative support to the Company Legal team under minimal supervision. The Legal Administrator will be required to be effective in dealing with various tasks and confidential information.

Duties and responsibilities:

  • Arrangement of meetings with external and internal stakeholders, including video conferences.
  • Travel arrangements (flights, hotel bookings, visa applications, transfers and expense claims).
  • Assisting with arrangements related to conferences and training sessions.
  • Typing of meeting minutes and assisting with the preparation of presentations.
  • Drafting, formatting, alignment and proofreading of legal documents, contracts, trading terms, etc.
  • Filing of documentation & correspondence and organizing legal folders.
  • Conducting legal research and gathering relevant information concerning pertinent legal matters / topics in the region, which includes researching the facts relevant to the topic as well as identifying the appropriate laws, judicial decisions and legal articles relevant thereto.
  • Information must be gathered and analysed in order to prepare a written report that could be used to determine how the matter should be managed/implemented.
  • Monitor, research and document any change in law in the region and the resultant impact on the activities of the company in the region.
  • Performing a variety of administrative tasks including filing paperwork, answering telephones and sending e-mails.
  • Following up with countries to ensure timely receipt of all monthly and quarterly reports, incl. annual insurance renewals.
  • Maintaining all legal registers (litigation, non-litigation, corporate secretarial, contracts, etc.).
  • Deal with urgent matters promptly and efficiently and ensure that all urgent tasks are completed on time.

Qualifications and experience:

  • Paralegal diploma will be an advantage.
  • Experience in the corporate environment.
  • Have a drivers license and able to travel locally if required to support training / conferences.
  • Must display a high level of initiative and be pro-active.
  • A meticulous person with excellent English-language communication skills, including writing skills.
  • Computer literate in MS-Word, Excel and the internet.
  • Ability to work independently, under pressure and to use initiative and meet deadlines.
  • Ability to prioritize and have good organizational skills.
  • Must have an understanding of the legal field and to perform basic research of legal topics.
  • Must be able to handle and maintain confidentiality at all times.
