Job Description

Las Vegas, NV | Legal assistant | Legal department | Corporate legal | OEM compliance | Contract administration | Discovery | Records management | Automotive retail | Veterans encouraged to apply

IS THIS YOU?

  • You're a detail-oriented legal administrator with experience supporting a corporate legal department or law firm -- you manage deadlines, records, and legal correspondence with the kind of accuracy and discretion that attorneys and paralegals depend on without having to check
  • You're organized across multiple priorities simultaneously, you handle confidential information with sound judgment, and you know that in a legal department, follow-through isn't optional -- missed deadlines and misfiled documents have real consequences

WHO WE ARE

Swickard Auto Group is a hospitality company that happens to sell and service cars. We believe the best guest experiences start with the best employee experiences. That's why we've grown to 40+ rooftops across the West Coast, Alaska, and Hawaii while maintaining a culture built on one simple idea: do right by people, every time.

Our in-house Legal Department operates out of Swickard Shared Services in Las Vegas, supporting legal, compliance, and manufacturer relations across a multi-brand, multi-state dealership organization. The Legal Administrator is the operational backbone of the department -- managing correspondence intake and routing, OEM compliance calendars, contract administration, discovery coordination, and the records and tracking systems that keep the department's work organized, accurate, and on deadline. This position does not provide legal advice.

WHAT YOU'LL DO

  • Support the day-to-day operations of the in-house Legal Department -- maintaining department workflows, intake processes, tracking logs, and status reports to support the timely completion of legal matters
  • Maintain the manufacturer compliance calendar -- tracking OEM shop and audit schedules, program enrollment and certification deadlines, and required submissions, and sending reminders to dealership leadership and other company stakeholders
  • Facilitate the intake, logging, and routing of legal correspondence -- including demand letters, notices, subpoenas, and service of process -- ensuring timely delivery to the appropriate attorneys and paralegals
  • Administer and maintain OEM contract and franchise agreements within the company's contract management system and document depositories -- recording key terms, effective and expiration dates, renewals, and required notices, and routing agreements for signature and filing executed copies
  • Coordinate and support discovery-related administrative tasks, including collecting documents from dealerships and departments
  • Organize and maintain open-point and manufacturer application documentation -- assembling document packages and tracking submission deadlines as directed by company leadership
  • Provide additional support to attorneys -- including calendar management, meeting coordination, and preparation of routine correspondence, reports, and documents for attorney review

WHAT WE'RE LOOKING FOR

  • 4+ years of experience in legal administration, as a legal assistant, or in a related administrative role -- required. Corporate legal department or law firm experience strongly preferred
  • Demonstrated experience managing legal calendars, deadline tracking systems, and legal records or document management systems -- required
  • High school diploma or equivalent -- required. Associate's or Bachelor's degree in Business Administration, Paralegal or Legal Studies, or a related field, or a paralegal certificate preferred -- equivalent combination of education and relevant professional experience may be considered
  • Contract administration experience preferred -- including contract databases, routing, execution, and recordkeeping
  • Experience supporting automotive retail, dealership operations, or manufacturer (OEM) relations a meaningful advantage
  • Knowledge of legal department operations, legal terminology, records management practices, and basic litigation and discovery processes
  • Proficiency in Microsoft Office, document management, contract management, e-signature, and legal calendaring or matter management systems
  • Strong organizational and process management skills -- able to maintain accurate trackers and records across multiple entities and stores simultaneously
  • Exceptional attention to detail and follow-through -- able to manage numerous deadlines and competing priorities without dropping the ball
  • Clear written and verbal communication skills -- able to interact professionally with attorneys, paralegals, company executives, dealership leadership, manufacturer representatives, and outside counsel
  • Demonstrated discretion and sound judgment in handling confidential information

WHAT WE OFFER

  • Medical, dental, and vision insurance
  • Life insurance and supplemental coverage options
  • Paid time off and paid holidays
  • A role with real organizational breadth -- supporting legal matters, OEM compliance, and contract administration across a 40+ rooftop, multi-state, multi-brand organization
  • Employee vehicle purchase and service discounts

WHY SWICKARD AUTO GROUP -- SHARED SERVICES

  • An in-house legal department supporting a nearly $3 billion, multi-state automotive organization means substantive, varied administrative work -- OEM compliance calendars, franchise agreements, discovery coordination, and contract administration across 20+ brands and 40+ rooftops
  • A close-knit legal team where the Legal Administrator's organizational discipline and attention to detail are genuinely felt by every attorney and paralegal who depends on the systems you maintain
  • Swickard's active acquisition pipeline means the organization grows -- and the Legal Administrator's role grows with it, adding brands, markets, and manufacturer relationships over time
  • Swickard is one of the fastest-growing dealer groups in the country -- ranked Top 5 in North America for reputation in the automotive industry
  • Our HEART values -- Honor, Engage, Anticipate, Respond, Thank -- define how we operate internally just as directly as how we serve our guests
