Job Description
The Legal Administrative Assistant will provide general office support for our Intellectual Property (IP) and IP Litigation attorneys and paralegals. This will include maintaining and organizing files, managing appointments and calendaring deadlines, proofreading and formatting documents, and utilizing case management software to keep cases organized. Our ideal candidate will have at least 2 years of administrative assistant experience, preferably working with intellectual property and/or federal litigation matters.
Where You'll Work
The Legal Administrative Assistant role is an hourly non-exempt position and will work full-time at our Charlotte, North Carolina office.
What You'll Do
- Assist attorneys in organizing and managing case files, including maintaining document databases and electronic records and docketing deadlines
- Proofread and format legal documents including routine pleadings and motions, affidavits, and interrogatories, files motions and pleadings according to judicial procedures
- Maintain calendars for attorneys and paralegals, including scheduling appointments and calendaring all relevant deadlines
- Answer incoming calls and route as appropriate
- Liaise with accounting team to handle monthly billing proformas, invoices, and insurance appeals
- Prepare litigation binders as needed for hearings, depositions, etc.
- Coordinate and manage patent proofing and reporting processes
- Work collaboratively with firmwide intellectual property team
What We’re Looking For
- Minimum of high school diploma required; bachelor’s degree or higher preferred
- 2+ years of experience with IP and/or federal court litigation experience preferred
- Strong understanding of patent and trademark terminology preferred
- Advanced technical skills including Microsoft Word, Excel and PowerPoint
- Project and case management skills, including a strong aptitude for managing and prioritizing multiple projects and deadlines with a high attention to detail
- Superior research, organizational and verbal and written communication skills

Physical Requirements
- Sitting position, static for up to one-half hour at a time, up to six hours per day.
- Standing and walking regularly, up to two hours per day.
- Lifting and carrying up to 20 pounds occasionally.
- Bends and stoops occasionally, up to one-half hour per day.
