A Day In The Life

The Legal Administrative Assistant contributes to the efficient day-to-day operations by providing clerical and administrative support to lawyers, paralegals and members of the Legal Assistant Services team. This is done through exceptional practice time management skills, the ability to successfully handle competing priorities, and a high degree of confidentiality and discretion. This is an on-site role.

Primary Responsibilities

  • Administrative tasks, such as email and calendar management, meeting coordination, processing incoming and outgoing mail, preparing expense reports, handling invoices and disbursements.
  • Open, maintain, and close files in accordance with firm procedures.
  • Prepare, format, and proofread a variety of legal documents, including correspondence, submissions, agreements, and pleadings.
  • Assist with preparation of court materials, including Application Records and Briefs of Authorities.
  • Schedule court dates and liaise with agents and court registries.
  • Coordinate large scan, print and copy jobs.
  • Prepare mail and courier packages.
  • Provide vacation coverage and overflow support to litigation legal assistants.
  • Other duties, as assigned.

Required Skills and Experience

  • Legal Administrative Assistant certificate from an accredited post-secondary institution.
  • Law firm experience, preferably in litigation.
  • Proficiency with Microsoft Office 365 (including Teams and SharePoint) and legal software such as iManage, Adobe, DocuSign, and Chrome River.
  • Strong understanding of business and legal terminology.
  • Ability to work independently with a high degree of accountability and minimal supervision.
  • Proven capacity to work under pressure, manage multiple priorities, and multitask in a fast-paced environment.
  • Exceptional written and verbal communication skills, with meticulous attention to detail.
  • Strong team player with the ability to build and maintain positive working relationships with staff and lawyers.

Compensation

The typical salary range for this position is $48,000 - $55,000 annually; the base pay offered is based on location and may vary depending on job-related knowledge, skills, experience, internal and market equity.
