Job Description
The Leave Administrator is responsible for managing employee leave programs, including Family and Medical Leave Act (FMLA), military leave, personal leave, workers' compensation, and other leave types. This role ensures leave requests are administered in compliance with applicable federal, state, and local regulations, as well as organizational policies. Serving as the primary point of contact for employees requesting or currently on leave, the Leave Administrator partners with HR, Payroll, Benefits, and leadership to ensure accurate documentation, communication, and payroll coordination while providing a positive employee experience throughout the leave process.
Essential Responsibilities
- Administer the full lifecycle of leave of absence requests, including intake, eligibility determination, tracking, documentation, approval, and return-to-work coordination.
- Ensure compliance with all applicable federal, state, and local leave laws, including FMLA, ADA, HIPAA, and other relevant regulations.
- Provide timely, accurate guidance to employees and managers regarding leave eligibility, policies, procedures, and case status.
- Partner with Human Resources, Payroll, Benefits, and Legal to coordinate leave administration, benefits continuation, and payroll processing.
- Maintain accurate, confidential leave records and ensure all required documentation and notifications are completed in a timely manner.
- Assist employees with Short-Term Disability (STD), Long-Term Disability (LTD), and Workers' Compensation claims, as applicable.
- Communicate with employees, supervisors, and HR Business Partners regarding leave timelines, return-to-work planning, and workplace accommodations.
- Monitor active leave cases and proactively follow up to ensure smooth transitions back to work.
- Educate managers and employees on leave policies, procedures, and best practices.
- Handle sensitive employee information with professionalism, discretion, and confidentiality.
- Stay informed of changes in employment laws and leave regulations to ensure ongoing compliance and continuous process improvement.
Qualifications
Required
- Bachelor's degree in Human Resources, Business Administration, or a related field, or an equivalent combination of education and experience.
- 2–4 years of experience in leave administration, human resources, benefits administration, or a related field.
- Strong working knowledge of FMLA, ADA, HIPAA, Workers' Compensation, and other leave-related regulations.
- Excellent organizational and time management skills with the ability to manage multiple cases and deadlines.
- Strong interpersonal, communication, and customer service skills.
- Experience handling sensitive employee matters with professionalism and discretion.
- Proficiency with HRIS systems and Microsoft Office applications, including Excel, Word, and Outlook.
- Strong attention to detail and commitment to regulatory compliance and confidentiality.
Preferred
- Professional HR certification such as SHRM-CP, PHR, or a comparable credential.
- Experience administering leave management software or case management systems.
