Lease Administrator

About the Lease Administrator

Upperline Health is seeking a proactive and detail-oriented Lease Administrator to own the execution of real estate administration across a growing multi-site healthcare portfolio. This role is responsible for maintaining lease records; coordinating with landlords, external real estate partners, and vendors, tracking critical lease dates, and managing document workflows across practice acquisitions, renewals, and ongoing portfolio management.

The ideal candidate thrives in a fast-paced environment, possesses strong organizational skills, and can effectively manage multiple priorities while maintaining accuracy and professionalism.

What You'll Do

  • Administer and maintain lease agreements, assignments, subleases, renewals, amendments, and related documentation across a multi-state portfolio of clinical locations
  • Track critical lease dates including expirations, renewal options, rent escalations, option exercise windows, and notice deadlines
  • Serve as the primary point of contact for landlords, property managers, external real estate partners, and vendors
  • Maintain accurate lease and facility records, files, and databases, including maintaining the shared leasing mailbox to respond to and resolve items in a timely manner
  • Own the population and monthly validation of the rent roll; coordinate with Accounting on timely rent payment execution as well as reconciliation of monthly account statements and annual statements
  • Collaborate as required with Operations, Finance, Leadership, Facilities & Construction, Legal, and external real estate partners regarding lease and facility matters
  • Draft lease-related documents from established templates — including leases, assignments, subleases, and amendments — and prepare reports and summaries as needed
  • Support practice acquisition real estate workstreams from deal initiation through close, coordinating document workflows, landlord onboarding, and lease execution
  • Review Estoppels and SNDAs for lease term accuracy; route to leadership for final review; file any lease assignments and collect new landlord information for vendor ACH setup
  • Request comparable market rent reports from external real estate partners to support rent rate determination
  • For acquisitions, draft new leases and/or lease assignments for review and execution prior to acquisition hard close; coordinate landlord payment documentation collection and vendor setup with Accounting in advance of closing
  • Collaborate with external real estate partners on lease renewal strategy meetings and portfolio reviews, preparing location data, updating trackers, attending, and documenting action items, including proactively gathering documentation needed to support lease document execution
  • Gather certificates of insurance from insurance brokers to circulate to landlords and/or property managers as required
  • Support ad hoc requests and projects as needed

Qualifications of the Lease Administrator

  • Associate or Bachelor's degree preferred, or equivalent professional experience
  • 5+ years of tenant lease administration, commercial real estate, or multi-site experience — healthcare real estate strongly preferred
  • Experience drafting commercial lease documents from established templates, including lease, assignments, subleases, Estoppels, and SNDAs
  • Strong organizational skills with high attention to detail
  • Excellent communication and interpersonal abilities
  • Proficiency in Smartsheet, leasing software systems, and Microsoft Office Suite, particularly Word and Outlook
  • Experience with lease management platforms, transaction tracking tools, and e-signature platforms
  • Professional discretion in handling confidential information
  • Working knowledge of commercial lease economics — rent structures, CAM, escalators, and renewal options
  • Flexible approach required with a high growth organization
  • Proven ability to prioritize competing tasks and meet established deadlines
