Julius Baer is committed to strengthening operational excellence across its units through targeted development programmes. We are currently rolling out a key learning initiative within the Chief Operating Officer (COO) unit and are seeking support for the logistical execution of this programme.
This fixed-term opportunity is ideal for a working student or early-career professional looking to gain valuable experience within a leading global wealth manager. Reporting directly to the Programme Manager in the COO unit, you will play a key supporting role in ensuring the smooth delivery of training sessions across the organisation and in international locations.
You will play a vital role in enabling the smooth execution of the learning programme by taking care of key logistical and administrative tasks, including:
Coordinate training room bookings and ensure appropriate setup across locations
Align facilitator schedules with the overall training plan in coordination with the Programme Manager
Manage end-to-end calendar invitations for participants and facilitators, including reminders and updates
Set up and test IT and audio-visual equipment for in-person and hybrid sessions (e.g. Webex, projectors, microphones)
Actively support virtual and in-person sessions by managing participant flow, including assigning and recalling breakout groups
Prepare and distribute training materials, including case studies for breakout sessions
Track attendance, manage sign-in sheets, and follow up on missing confirmations
Handle post-session tasks, including collecting feedback forms and returning equipment
Maintain accurate logs, checklists, and filing for ongoing administrative efficiency
You bring strong organisational instincts, reliability, and a proactive attitude to support a time-sensitive initiative. What sets you apart is your genuine service orientation-the ability to anticipate needs and provide timely, thoughtful support to facilitators and participants alike.
Current enrolment in or recent completion of a bachelor’s degree in business, Social Sciences, Education, or a related field
Experience in administrative support, event coordination, or in a PMO-like role is valued
While no prior banking experience is required, familiarity with operating in a structured, large corporate environment is an advantage
Proficiency in Microsoft Office (Outlook, Word, Excel) and practical experience with virtual meeting platforms
Excellent attention to detail and the ability to manage multiple tasks efficiently under clear timelines
A courteous, cooperative, and service-oriented approach to teamwork and stakeholder interactions
Good command of English (written and spoken); basic German is an advantage
